This role is so varied and offers so many different duties that it would be impossible to list them all, but, here are some of the responsibilities that you will have:
You will be a member of a team of Medical Secretaries and Support Secretaries providing secretarial and administrative support to consultants, nurses, junior medical staff and any other staff.

You will support the efficient channelling of communication between medical staff, GPs, patients, relatives, members of the public and other disciplines within the Trust.

You will provide audio-transcription of clinic letters and results, assist with multi-disciplinary team meetings, and provide general clerical service and support for medical secretarial teams throughout the Directorate.

Your work will also cover a wide range of duties and you must therefore be able to demonstrate a flexible approach to all working relationships.

Knowledge and experience of office procedures are of course essential - we don’t want to just throw you in at the deep end, so we do want people who know what it’s like to work in an office team environment.

- Undertake audio transcription of multi-speciality Consultant outpatient clinics, admin correspondence and any other correspondence ensuring all is prepared for signature promptly and to a high standard.
- Communicate with a wide range of staff, patients and visitors to the Trust/Department utilising a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request.
- Co-ordinate and maintain accurate diary and work schedule for Consultants in order to ensure follow through on actions required e.g. communication of clinic cancellations/reductions to relevant departments.
- Co-ordinate meetings, appointments and lectures as requested including arranging venue and refreshments on and off-site when required.
- Use databases and computer packages where appropriate to initiate and maintain records and generate statistics for analytical purposes.
- Interrogating patient records and data to ensure accuracy and updating Trust systems to reflect any updated information i.e. 18 week pathways and performance information.
- Provide administrative support to daily departmental MDT meetings using skills to interrogate relevant verbal data to update MDT lists and action any related administrative duties as requested.
- Support in the administrative responsibilities specific to the Palliative Care team, such as arranging the delivery of the Transforming End of Life Care training, administrative tasks relating to annual Dying Matters week, data collection on behalf of the Enhanced Supportive Care secretary lead, support admin for the departmental Trust Intranet page, and support in collating and providing induction packs for new medical/nursing starters.
- Administrative duties such as ensuring accurate filing of patient investigations and correspondence, collecting and sorting incoming mail, and responding to external and internal telephone enquiries from staff, patients and others in an efficient, tactful and diplomatic manner.
- Provide secretarial and administrative support when other members of the team are absent.
