Overview:
We are seeking a highly organised and detail-oriented Administration Assistant to join our thriving team at Solinear Limited, a leading Architectural Solar Shading and Louvre provider. As the Administration Assistant, you’ll be at the heart of our team, ensuring seamless coordination and smooth running of the business and providing administrative support to our Commercial team.

**Duties**:

- First point of contact answering external telephone calls, transferring correctly, or taking concise and appropriate messages and distributing to the relevant person.
- Reconcile delivery notes and sign off purchase invoices.
- Monitoring the sales enquiry inbox.
- Follow up with enquiries to advise on whether we will/will not be pricing.
- Following up with quoted enquiries for feedback with respects to whether we need to adjust quotation, allowances, etc and feed this information back to the commercial team.
- Minute taking, action assignment, minute circulation and following up action completion.
- Completing Client health & safety/pre-qualification questionnaires
- Assisting with Office/Factory safety checks
- Compile new project server folders and ensure all required documentation is provided.
- Help review, maintain and update the company Quality Management System involving document control, supplier database, training matrix, NCR’s.
- Schedule yearly servicing of equipment.
- Monthly checks of First Aid equipment and PPE.
- Arrange company travel.
- Raise orders using the company purchase order system.

Qualifications:

- Excellent communication and interpersonal skills.
- Strong organisational abilities with keen attention to detail.
- Ability to manage multiple tasks and prioritise effectively.
- Strong typing skills for efficient data entry.
- Previous experience in an administrative or office support role preferred.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook).
- Familiarity with customer relationship management (CRM) software is advantageous.

Pay: £25,000.00 per year

Schedule:

- Monday to Friday
