Project Administrator - Based at Derby

The main purpose of this position is to provide administrative support to the project management team and assist in the delivery of the project or projects. This includes undertaking any administrative tasks in an organised and efficient manner.

Main Duties:

- Provide administrative support to the team within the designated project.
- Handle requests and queries from suppliers, customers and other departments appropriately.
- Maintain agendas, arrange meetings and appointments and provide reminders to the team.
- Assist with arrangements for team meetings, room bookings and arrangements for visitors to the site.
- Maintain registers of annual leave, weekly movement charts and the administration of project timesheets.
- Ensure the completed, signed and timely submission of time sheets for all members of staff within your areas of responsibility.
- Update and maintain project organisation charts and contact lists.
- Assist with the procurement of resources, PPE, materials & stationery.
- Process purchase requisitions, process goods received notes and invoices.
- Administration of blue collar agency resource from request to payment.
- Recording of all staff and subcontractor timesheets & hours allocations to specific areas of costing descriptions.
- Organise hotel accommodation and travel facilities for team, whilst obtaining management approval for requests.
- Liaise with local office facilities team and report issues.
- Local support point for the team staff members.
- On occasion assist managers with the on-boarding process of new staff
- Attendance at meeting and recording of minutes as required.
- Some travel and shift pattern changes may be necessary to fully perform some of your duties/activities.

Educational Requirements:
Mandatory:
GSCE or equivalent pass in English & Maths

Desirable - Formal qualification in administration

**Experience**:
Mandatory:

- Experience within an administrative environment.
- Computer literate, including a detailed knowledge of Word, Excel and Power Point.
- Minute recording.
- Respect of confidentiality where necessary

Desirable:

- Extensive experience within an administrative environment knowledge of financial systems.
- Able to support Document Control function if required.
