Theatre Reception Administrator

The post holder will manage the reception area of theatres. This will involve the day to day management of up to seven staff. The primary role of the post holder will be to be responsible for the transit of patients to theatre ensuring an efficient and timely service.
The post holder will have the freedom to act within established parameters, being managed rather than supervised. Due to the operational nature of the post the post holder will report to the theatre coordinator on a daily basis or more frequently as required.
The post holder will be in many instances the first point of contact for visitors to the department and have a significant responsibility in maintaining the security of the department.
This post is fundamental to the core business of the operating theatres in that timely patient flow is paramount to client, departmental and Trust objectives.
The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
The post holder will communicate with a wide range of staff from nursing auxilary’s to Consultant Medical Staff, patients, relatives/carers and departmental visitors. This will include providing and receiving information in relation to patient conditions, staff sickness and emergency activity.
Tact is required on an ongoing basis, communicating with staff that have conflicting priorities and escalating anything necessary to the Theatre Coordinator. Persuasive and empathic skills are required in the management of reception staff.
An excellent telephone manner and skills are required.
The post holder will plan the ongoing workload for reception staff, including statutory breaks, ensuring the core business of the operating theatres is not interrupted. This will include the need to allocate and re-allocate tasks on an ongoing basis. This will also include liaising with medical staff, theatre teams, x-ray and other hospital services.
The post holder will manage staffing levels in reception, reporting to the theatre coordinator inappropriate or inadequate levels.
The post holder will liaise with the theatre coordinator and the team leaders to maintain an adequate skill mix between reception and theatre.

Patient Care
The post holder will provide general non clinical advice to relatives/carers.
The post holder will be required to assist in supporting theatre staff on rare occasions including transporting specimens.
In conjunction with the Theatre Coordinator Resolve any problems that occur regarding the theatre lists or the transportation of patients to theatre.
Human Resources
The post holder will have day to day management responsibility for the reception staff, (twenty in total, up to seven on duty at any one time. Responsibilities will include:
Attendance monitoring
Initial grievances
Allocation of work
Monitoring of patient trolley preparation (stock levels/cleanliness) on an ongoing basis throughout the day.
Training and development of new appointees
Reception health and safety including equipment maintenance
Staff allocation taking into account departmental needs
Band 2 performance development reviews
The post holder will implement and monitor policies and procedures in reception and propose changes to working/administrative practices that may impact on the core business.
Information Resources
**The post holder will be responsible for ensuring**:
All list cases are correctly logged on the theatre system
All emergency cases during working hours are correctly entered on the theatre management system
All changes to lists made at reception are entered on the theatre system and disseminated through the department
All departmental visitors hold a valid staff/visitors badge
Ensuring all emergency case booking forms are completed accurately and stored post procedure
Other Duties
Monitor the receipt of loan/repair medical equipment in and out of reception.
Order clerical supplies for the reception desk.
Undertake the weekly cleanliness audit in reception.
The post holder will participate in any surveys or audits, as necessary to their own work.
