**The Role**

The Experience and Development Team (EDT) is a dedicated service team designed to support our customers and colleagues, whether that’s through customer care, administration or training and development plans.

You will provide administrative support primarily for our large contract, working closely with the operational teams to ensure we maintain high administrative standards. This role will coordinate the back-office work to ensure the autonomy of process for the customer, including minute taking or tracking of key activities, to ensure the smooth running of the contract.

To succeed in this role, you will enjoy working in a fast-paced environment, be very organised and methodical in all approaches, and be capable of ensuring compliance with business procedures.

**Key Duties**
- Ensure that all documentations (schedules and supplier plans) are up-to-date and are reviewed annually with the Contracts Manager
- Extract/monitor and issue KPI reporting in a timely manner, ensuring they are available as per the customer requirements
- Ensure that all third-party facilities management service tickets for callouts are correctly recorded on our service management system and the Contracts Manager is aware. Once works are completed, ensure that all appropriate systems are updated.
- Maintain a system to monitor and record contract penalties and SLA breaches to ensure that invoicing is easy
- Track works completed against our customer’s strategic environmental objectives
- Update our CRM system with key information on contract activity, ensuring it is always up-to-date
- Produce process maps for the role, so that business continuity can be established
- Attend and minute contractor meetings, and distribute minutes for sign-off along with the agreed reports
- Work to ensure that we have a system to track social value commitments as required by our customers in the contract
- Timely and effectively process purchase orders, ensuring the accuracy of records and best value is achieved through a managed supply chain. Ensure that all purchase records/orders/reports and related data for management accounting purposes are maintained
- Ensure that all quotations are produced in a professional and timely manner, and records are updated
- Provide support as required in the processing of insurance claims and reports
- As directed, liaise with finance on pricing and invoicing queries
- Ensure that operational records and documents are stored and used effectively, specifically with reference to health and safety, machinery and equipment, vehicles and contracts
- Deliver contract reporting; daily/weekly/monthly to meet customer requirements
- Offer effective cover and support to other EDT team members, ensuring business continuity
