Meeting and Events Supervisor

To work in an operational role Supervising Meeting Room and Event Services whilst also supporting the wider Facilities Department as a whole. This is a Monday to Friday role working 40 hours per week with a 1 hour unpaid lunch break. Likely shift times are 08:00 - 17:00, Monday - Friday, however a degree of flexibility is required.
- Provide support to the FM and ensure that contractual commitments are met and exceeded, e.g. SLAs/KPIs.
- To line manage the Meeting Rooms Operative role including all operational and HR processes.
- To deliver the day to day management of the onsite Event Space, monitoring / making / amending bookings, liaising with event organisers, discussing & delivering requirements.
- Conduct show-rounds of the Event Space where required.
- To ensure all aspects of event planning and logistics are managed effectively, such as coordinating moving furniture, availability of furniture, deliveries being sent to site, parking requirements, Reception opening, signage, reviewing risk assessments & method statements.
- To organise, lead and deliver the annual site Summer BBQ, and support with any events the client would like to hold outside within the wider office grounds.
- To oversee any other seasonal activities on site, i.e. Christmas events, and any events taking place in the Atrium or car parks.
- To be the Facilities representative on the client Charities & Community Board to support with any smaller fundraising / volunteering activities taking place.
- To liaise with client Health & Safety team to ensure appropriate risk assessments & method statements are in place for all scheduled activities.
- To work alongside the onsite Catering company regarding hospitality requests.
- To have a solid understanding of the Meeting Rooms Operative role in order to cover where required.
- To build relationships with key client representatives such as Executive / Team Assistants and those who are ‘top bookers’ of the Event Space and meeting rooms, in order to understand their needs and requirements for important events such as Board Meetings, Financial Results and Graduate Assessment Centres.
- To remain flexible in your approach understanding there may be occasional need to arrive early / work later in order to meet business needs.
- To ensure that hazards are being reported through the correct process and are made safe and resolved.
- Ensuring business policies and processes are effectively supported and followed within the contract.
- Ensure the provision of healthy and safe working conditions, and that both the clients and Company health and safety policy and process is supported.
- Actively participate in training, development and self-learning.
- Ensuring a customer focus within all areas of operational activities, and that effective relationships are maintained with key client contacts.
- To undertake any other reasonable requests/tasks as requested by the Management Team and/or the client.
- Promoting and maintaining the company values.

- Ability to communicate and correspond with all levels across the business and provide efficient administration support.
- Excellent planning and organisational skills with the ability to multi-task and prioritise workload in order to meet time scales.
- Ability to work on own and as part of a team
- To be flexible and have the ability to deal tactfully, calmly and effectively with a wide range of people from within and outside the organisation.
