Facilities Administrator

Are you an experienced facilities administrator looking for a new and exciting opportunity?
Red Rock Consultants are an established recruitment agency specialising in recruiting for M&E and Facilities Management companies across the UK. We are currently working in partnership with an electrical contracting company in Wolverhampton with the recruitment of a facilities administrator. The role is full time and permanent and is to start as soon as possible. The shifts are 9am until 5pm.
To be successful in this role, you should have excellent communication skills across all levels and have strong administration experience. You must have the ability to perform multiple tasks at a time and work under pressure.
This role will require weekend inbox checks (on call remotely) for 2 out of 4 weekends on a 2 on, 2 off rota.
Roles & Responsibilities
- Filtering and managing busy outlook inbox - raising new jobs, recording updates and
- responding to enquiries
- Creating and updating all job information onto portal
- Raising purchase orders and tracking status
- Communicate fully with clients and subcontractors on status of job, dates, times, location,
- access information, health and safety, materials etc. ensuring excellent standards of customer
- service are maintained
- Data input
- Creating monthly data reports
- Distribution of all job information, ensuring that trackers and portal are always up to date and
- compliant
- Creation / distribution of RAMs / Permits to Work
- Booking in with centre management and raising permits
- Prepare and track facilities budgets
- General office administrative duties
- Holiday cover for Service Manager
- Holiday cover for office Administration Staff
Qualification and Education Requirements
- Experience in all Microsoft packages (required)
- Facilities experience (essential)
- Experience in use of Job Logic (desirable)
