OVERALL PURPOSE OF THE JOB

Support and assist the People & Culture team with all aspects of the people function, ensuring all administration and processes are effective and accurate.

MAIN DUTIES AND RESPONSIBILITIES
- Day to day running of HRIS system (CIPHR) - including onboarding and policy configuration, adding any new starters to the system, updating records, personal detail changes, reporting any system issues, and training of staff.
- Creating offer letters, contracts, pension letters and general correspondence.
- Scheduling and coordinating inductions of new starters.
- Performing reference checks and issuing new starter documentation. Ensure all new starter documentation is completed within 3 months of the start date.
- Manage any other administration within the department, such as driving fines and reference checks.
- Monitor probationary periods and arrange and conduct People & Culture Catch Ups.
- Raising PO numbers and general administration of financial accounts e.g., invoicing and authorisation.
- Assist with performance management procedures.
- Complete termination paperwork and exit interviews.
- Support with weekly payroll queries working closely with the staffing team as needed.
- Responding to People & Culture queries and providing general advice to Managers and employees.
- Support Office Administrator with bi-weekly team lunches
- Keeping training records up to date.
- Weekly job board communications updated.
- Any other duties that may be required from time to time for the smooth running of the business.
- Take into consideration sustainable solutions and best practices to ensure we take responsibility for reducing our impact on the environment and support the company wide sustainability strategy

KNOWLEDGE, EXPERIENCE & SKILLS REQUIRED

**Essential**
- Strong experience as an administrator with a full understanding of best practice.
- Fully competent user of ICT including MS Office, advanced Excel.
- Excellent communicator with great interpersonal skills and the ability to build effective relationships at all levels.
- Good commercial awareness, customer focused and driven by results and achievement.
- Strong organisational, planning and time management ability.
- An ability to multitask.
- Fantastic attention to detail.
- Great influencing, communication, and negotiation skills.

**Desirable**
- CIPD L3.
- HRIS knowledge - CIPHR.
- Payroll experience
