**Hours**: Mon - Fri 9am until 5pm or hours as agreed otherwise
£22,000 - £24,000 pa dependent upon experience
Prizm Solutions was formed in November 2006 when Peter Robinson & Tracy Pound saw an opportunity to radically change the way insurance is transacted. They formed Prizm Solutions to provide a high value, low cost, ethical & professional approach to handling commercial insurance.
Based in Tamworth, Prizm are a hard-working but incredibly affable bunch of brokers who work their socks off to get businesses the insurance solution that’s right for them. Prizm are looking for an experienced general Administrator to join this friendly bunch.
**Main Purpose of Job**:
The role requires significant organisation and management of tasks - in particular:
- Office Administration
- Accounts Administration
- Miscellaneous duties
- Any special projects requested by the management team
**Key Skills required**: strong attention to detail; good interpersonal oral and written communication skills; general IT especially with Microsoft Office programs; excellent time management skills; exceptional communication and customer service skills; strong record keeping skills; ability to handle confidential information; good time management skills and the ability to prioritise; the ability to work as part of a team and to build strong working relationships.
**Key responsibilities/duties - Office Administration**
- To update and administer the Zywave Portal.
- Chase clients for outstanding insurance documentation.
- Accurately record any correspondence, both verbal and written, on the Acturis system.
- Ensure all documents are attached to the correct client file.
- Ensure all tasks on Acturis are dealt with in a timely manner.
- Ensure Sanction check is completed monthly.
- Ensure relevant compliance documents are completed monthly.
- Ensure fire alarms are checked weekly.
- Maintain a good client relationship.
- Sending out of marketing letters eg VOSA as applicable.
- Ensure Time Management systems are correctly updated.
- Scanning of post when needed.
- Outgoing post when Office Administrator is on holiday.
- Answering incoming telephones calls in a timely manner.
- Maintain stationery and office supplies when Office Administrator away.
**Key responsibilities/duties - Accounts Administration**
- Accurately setting and administration up of CPF loans.
- Chasing of loan documentation.
- Chasing of client o/s monies.
- Ensuring cheques are banked when Office Administrator is on holiday.
- Checking Earned Income is being accurately allocated.
- Enter invoices onto Sage and reconcile as appropriate.
**Key responsibilities/duties - Miscellaneous duties**
- Observing the information provided in your company staff handbook at all times.
- Maintain and clean and orderly working environment.
- Responsibility for own health and safety within the workplace.
- Any other reasonable duties or tasks requested by the management of Prizm Solutions or allocated by line manager.

- Positive and growing turnover, profits and financial sustainability
- Full green suite of KPI measures
