We are seeking an Administrative Support Specialist to join our Quality and Governance Team, playing a vital role in optimising administrative processes and enhancing operational efficiency.

**Position Overview**:
As the Administrative Support Specialist for the Quality and Governance Team, you will be at the heart of ensuring the seamless functioning of our administrative operations. Your contributions will span a diverse spectrum of tasks, all aimed at elevating our team's overall effectiveness.
- Deliver comprehensive administrative support to the Quality and Governance Team, assisting with various tasks and ensuring seamless coordination of activities.
- Extend valuable assistance to the wider Operational Teams by providing support in matters pertaining to data management and systems utilisation.
- Take charge of coordinating, planning, and efficiently scheduling training sessions that cater to the diverse needs of the organisation.

**Training**:

- Organise and schedule training sessions for staff, including First Aid, CRB, and Mental Health Awareness.
- Manage training logistics, including booking rooms and raising Purchase Orders.
- Maintain the NHC Booking Log.
- Input training courses into the HIPPO system.
- Oversee the training inbox and upload data to HIPPO.
- Create, issue, and archive training certificates while updating the HIPPO system.
- Prepare and print certificates for Mental Health Awareness, ABI, and First Aid.
- Manage user access on HIPPO and maintain job roles. Collaborate with HIPPO for updates.
- Develop and distribute the training matrix monthly to SM/RM/HO.
- Compile and provide training data for governance from the HIPPO system.
- Monitor attendance and generate reports for non-attendees. Log and report on Care Certificate completion for new hires.
- Coordinate with Mitigo for Cyber Security Training compliance.

**Incidents**:

- Analyse and review monthly incident data to identify trends for governance reporting.
- Log and file post-incident reviews.
- Collect lessons learned data from TITAN for governance purposes.

**Audits**:

- Oversee the GOAUDITS system.
- Create new audits or adapt existing ones based on practice changes.
- Integrate new services into the GOAUDITS system.
- Conduct staff training on GOAUDITS.
- Compile and provide audit data for governance.

**Governance**:

- Gather and prepare data for governance meetings.
- Collaborate with the Clinical Lead to finalise meeting minutes and produce necessary supporting documents.
- Arrange watch site meetings.

**Complaints**:

- Monitor the complaints inbox.
- Maintain and update the complaints log.
- Prepare and produce data for governance reports, including statistics, trends, and lessons learned.
- Coordinate with the investigator officer and manage relevant correspondence.
- Update the complaints log and archive complaint-related information in SharePoint.

**Safeguarding**:

- Update the safeguarding log and contribute data for governance.

**Whistleblowing**:

- Liaise with external providers regarding received whistleblowing reports.
- Maintain and update the whistleblowing log.
- Prepare and provide whistleblowing data for governance.

**Compliments Inbox**:

- Manage and oversee the compliments inbox.
- Update and maintain the compliments log.
- Prepare and produce compliments-related data for governance.

**CQC Portal**:

- Manage user access on the CQC portal.

**Internal Inspections**:

- Remote support for internal inspections.

**Standardisation**:

- Monitor the master form system.
- Manage the NHC Shared Point system, including creating new folders and managing permissions.

**Health and Safety**:

- Collaborate with SM and Ardent for annual service reviews (WPRA, FRA, and PAT testing).
- Plan fire warden training at services.

**Additional Roles**:

- Collaborate with marketing to develop Lessons Learned bulletins.
- Manage the OOH (Out of Hours) calendar.
- Coordinate PPE orders for all services.

The post holder is expected to;
- Carry out other similar reasonable duties according to the business needs
- Undertake any training relevant to the requirements of the role
- Comply with health and safety procedures and safe working practices
- Adhere to data protection procedures, ensuring that sensitive business data remains confidential

Working Hours

The role is a full-time position working 37.5 hours per week - Salary Dependant upon experience
