This role is 37.5 hours per week - Monday - Friday based within our office in Edinburgh, however flexible working hours are available as per company policy

We’re looking for a Personal Assistant who can provide high-level business and administrative support to both the Managing Director and the Finance Director. This would also include supporting the wider teams that fall within their portfolios, including TV, Events, special projects, and Finance.

**Your tasks**
- Organizing and managing diary appointments for both the MD and FD
- Screening phone calls, enquiries, and requests, and handling them where appropriate.
- Arranging travel, visas and accommodation, car parking and taxis as required.
- Supporting the wider teams with group travel bookings, training requests and other administrative tasks as required.
- Supporting the Events team with events.
- Arranging both internal and international meetings and liaising with international colleagues
- Assist Managing Director with writing speeches for events.
- Booking and setting up meeting rooms, including refreshments.
- Taking minutes at meetings and following up on action points.
- Producing reports, documents and presentations.
- Assisting MD with admin and organization around special projects.
- Arranging weekly PA meeting
- Supporting PAs within the wider business and providing holiday cover as needed
- Arranging PO’s and invoice payments as required.
- Completing and submitting both expenses and credit card receipts in a timely fashion.

**Your qualities**:

- Able to work with discretion and confidentiality.
- An excellent communicator both verbally and written.
- Ability to co-ordinate and deliver multiple tasks.
- Highly skilled in areas of Microsoft Office (Excel, PowerPoint, Word)
- A high level of attention to detail.
- The ability to effectively build relationships at all levels.

**Your future department**:
This role will work across the business but have most contact with the Events and TV departments. The Events team plan and arrange our big winners events each month as well as planning and running all internal events. The TV team are involved in projects that run across the business, from filming and producing our commercials, travelling to meet and film our winners up and down the country, to catching all the incredible stories that are being made possible by the players of The People’s Postcode Lottery.
