Position Overview:
The main purpose of this role is to lead the administration process of Rental & Used Equipment from initial order to scheduled invoicing and final GP washout, ensuring that customer expectations are met and all invoices and associated paperwork are raised accurately and on time. To ensure all equipment purchases are processed accurately in a timely manner, and entered onto the DBS system. To update, run and distribute reports to Management as and when required. To ensure customers and sales persons are informed with order progress at all times and ensuring completed sales achieve expected profit margins. Receive telephone calls from salesmen, customers and managers and react accordingly.

Major Job Functions

Liaise with sales persons, UESM, RSR’s on all matters regarding UE sales and rental orders, collating all new deal sheets, managing all signed rental contracts prior to delivery, ensuring all agreements are financially accurate, fully completed, ensuring authorisation levels are adhered to and paperwork is in place to meet agreed delivery date. Work in conjunction with RUN central team and support the extended team within regions.

Ensuring all costs (actual and estimated, transport etc) are recorded on the Finning mainframe system and all recoverable charges are accounted for prior to invoicing to ensure accurate accounting of sales in each period. Re-charge of costs to customer or sales regions for cancelled sales, ensuring book value is as expected by U/E Manager.

Accurate entering of all purchases on to DBS system and maintain pending purchases report. Administer general rental activities including machine quotation, on and off hire documentation, machine releases, collect excess hours, bill abuse damage and keep DBS records and asset register up to date with accurate information.

The production of accurate Rental and UE sales invoices via Finning mainframe system to reduce invoice disputes and payment delays, with responsibility for the appropriateness of invoicing schedules, ensuring all machines are invoiced and delivered in the same accounting period.

Ensuring all warranties are recorded on various computer systems, raised sent to the customer for signature and returned in a timely manner.
