We have an opportunity for an experienced Personal Assistant to join the Reward, Inclusion and Talent Acquisition Centre of Excellence (CoE) team within HR. The role would be based in Eastbrook House, Cambridge.

You will report into the Senior Vice President (SVP) and your focus will be on providing high quality and professional support to the SVP and her leadership team.

You will have strong organisational skills gained from experience in roles in complex and/or global teams, be comfortable with managing multiple priorities, conflicting demands and have the drive and enthusiasm to deliver to high standards in a fast-paced environment.

**Essential requirements**:

- Experience as a PA/EA supporting Vice President level or above
- A professional, confident and proactive individual, with the ability to manage multiple tasks simultaneously and effectively
- Excellent verbal, written and interpersonal skills
- Ability to handle sensitive information in a confidential manner
- Ability to work collaboratively, communicate effectively and build networks
- Expert user of key information tools e.g. Microsoft Outlook, Microsoft Office (including PowerPoint, Word, Excel), Microsoft Teams and other virtual tools, i.e. Service Now articles, Box, SharePoint and Slido
- Understanding of Concur for travel bookings and expenses
- Experience of raising purchase requisitions/orders and vendor creation

**Key duties of this role include**:

- Extensive diary management; coordinating internal and external meetings, which can often include members of the Senior Executive Team and Board members
- Managing all aspects of domestic and complex overseas travel, including visa arrangements
- Attending leadership team meetings; supporting preparation of meeting agendas and other relevant documentation, and tracking actions
- Expense submissions for the SVP and leadership team, ensuring completion within approved timeframe and within policy
- Managing the Reward and Inclusion core documentation folder for shared materials for the department, managing updates to Reward policies, and some Service Now articles when required
- Working ‘behind the scenes’ to ensure the quarterly departmental meetings run to their full efficiency; including collating the agenda, creating slides and managing the technology
- Budget and carbon tracking, ensuring department falls within given budgets
- Raising purchase requisitions/orders, processing Epay payments and vendor creation
- Opportunity to support and liaise with the wider team with project work
- Point of contact for onboarding for the department, ensuring new joiners have access to the relevant systems and groups

Being a confident individual, you will enjoy working with stakeholders across all levels of our organisation, across different time zones and with people from many cultures, building networks and supporting colleagues. The complex diary arrangements will require you to have strong influencing skills with the ability to engage relevant people in developing solutions; your patience and flexibility will be advantageous in securing this challenging but interesting role. Often working independently, you must be able to respond to changes in customer and stakeholder demands with the flexibility to adapt to changing situations.
