Overview

Legal and Compliance Services are part of the Vice-Chancellor's Office and staff within the team are responsible for a variety of legal and compliance issues such as data protection, freedom of information, legal services, contracts, policies, research governance, complaints, discipline, appeals and safeguarding.

The role sits within this team and supports the administrative work generated by the University’s procedures for student complaints, academic appeals, termination of studies, fitness to study, fitness to reside and fitness to practice. In addition, the post holder will be responsible for supporting the University's safeguarding procedures, including being the first point of contact during office hours. The post holder will also support the University's emergency management procedures.

Purpose of the Job

The post holder will be responsible for undertaking the administrative work generated by the University’s procedures for student complaints, academic appeals, termination of studies, fitness to study, fitness to reside and fitness to practice, including providing support for relevant meetings and Boards where required. In addition, the post holder will be responsible for supporting the University's safeguarding procedures, including being the first point of contact during office hours. The post holder will also support the University's emergency management procedures.

Main

**Responsibilities**:

- Student Conduct, Complaints and Appeals- Undertaking the administrative work generated by the University’s procedures for student complaints, academic appeals, termination of studies, fitness to study, fitness to reside and fitness to practice, including providing support for relevant meetings and Boards where required;
- Providing support for student discipline case administration, arranging meetings, meeting with relevant individuals to gather initial case information, and providing support for disciplinary hearings and appeal meetings;
- Support the gathering of information for student cases referred to the OIA
- Support the gathering of information for internal reporting purposes
- Providing information to students and staff on processes relating to the portfolio, working with the Students’ Union to maintain clear online information on the various appeals, complaints and disciplinary procedures;
- Providing information in a timely manner to the Governance & Secretariat Officer on incidents which require reporting to the Charity Commission / HEFCW;
Emergency Management
- Acting as the University’s Emergency Response Coordinator:
- Once escalated to Tactical (Silver) level managing the flow of information during a live emergency incident, to prevent a breakdown in communication:

- Arranging administrative support for multi-agency meetings (if held at the University);
- Arranging briefings / meetings and ensuring attendees are informed of times / locations;
- Overseeing the logs from the meetings, advising the Emergency Manager of the current position;
- Establishing and facilitating an ‘information hub’ for information gathering:

- Cascading agreed information from Tactical and Strategic Groups;
- Acting as Loggist for Tactical and Strategic Emergency Management Groups;
- Ensuring the out of hours emergency directory is updated, and ensuring “grab boxes” are well maintained and available at designated locations;
- Liaising with North Wales Ambulance Service in relation to the maintaining and siting of their grab bag on university premises;
- Supporting the regular updating of emergency management policies, plans and escalation arrangements;
- Supporting the regular updating of the University’s contingency plans and business continuity plans;
- Working with the University Secretary, and the Senior Safeguarding, Conduct & Complaints Officer, to arrange and assist with the delivery of regular relevant training and guidance for staff on emergency management procedures, including desk top exercises and full exercises. Delivering key updates to staff during the events and noting learning outcomes from the hot and cold debriefs;
