**The Opportunity**
As a Contracts Coordinator, the main purpose of the role is to be a representative of KAEFER with accountability (in conjunction with the Contracts Manager) for operational, commercial, financial and SHEQ performance of contracts, projects and sites allocated to them based on scope, scale and complexity. Responsible for managing all aspects of allocated projects with a brief to ensure on time delivery, within defined budgets and without compromise on safety or quality. Ensure that all activities are conducted in accordance with internal policies & procedures and remain compliant with current legislation.
Key duties and responsibilities of the role include but are not limited to:
- Ensure allocated contracts, projects and sites operate within established Company Policies and Procedures and all necessary safety documentation (Permits, Method Statements, Risk Assessments, etc.) is produced, issued and being complied with.
Operate in accordance with the KAEFER Integrated Management System and ISO 9001; ISO 14001 and OHSAS 18001 standards.
- Actively participate, promote and practice LEAN Techniques to drive efficiencies on Contracts
- Promote, lead and work in accordance with Safety, Health, Environmental and Quality initiatives, i.e. ‘Safe By Choice’; “Think Quality”.
- Promote company values and standards and exhibit appropriate behaviour in accordance with Company ethos.
- Provide technical support to Estimators and / or directly undertake scoping and estimating activities on allocated projects.
- Work closely with operational management to co-ordinate and allocate appropriate resource levels across projects to ensure efficient utilisation of the resource pool.
- Accurate preparation of Timesheets / Hrs and Actual Value Analysis Sheets on a weekly basis.
- Complete Consignment Notes in accordance with procedures set down by the Environment Agency and producing quarterly returns for submission to the Agency
- Conduct site inductions for all personnel, subcontractors & visitors entering the site for the first time.
- Ensure that all plant, equipment and tools used on site are maintained in a safe condition and that periodic checks are carried out and recorded.
- Report and record all Accident/incidents, injuries, dangerous occurrences and environmental incidents as soon as is possible.
- Attend regular meetings with clients and management for planning works, progress and reviewing works, report meetings to line management.
- Assist with invoicing the works carried out and carry out stock takes when required.
- Carry out CD101’s & Site Inspections
- Assist in implementing adequate project controls to improve the efficiency and enhance the profitability of projects, including debt management.
- Ensure timely programming and change notifications are communicated to support other internal departments, i.e. HR; Fleet; Procurement and Design.
- Deal with breaches in performance standards in compliance with the KAEFER Disciplinary Procedure, seeking appropriate advice where necessary from the Contract Manager and or HR.
**The Person**
They will have the ability to delegate tasks effectively and monitor progress of contract portfolios, with excellent communication and organisational skills.
**Essential**:
- Proficient in Excel for use in estimating, cost reporting, budgeting and forecasting
- Knowledge of multi-discipline work at height practices and scaffolding procedures
**Desirable**:
- IOSH Managing Safely/ SMSTS
- NEBOSH Certificate
- ACAD or ARCA Manager/ Director
