Contract Administrator

We are looking for a reliable and detail-oriented **Contract Administrator** to join our team of professionals. You will be responsible for carrying out various administration roles for the delivery of invasive weed management projects including interpreting surveyors notes and preparing written management plans, planning operator work routes using mapping software and setting up new contract folders. In addition you will also have general office administration responsibilities including recording and maintaining accurate financial records for the company, invoicing, preparing quotations and updating social media channels and website.
Key Responsibilities:
- Communicate and liaise with clients, contractors, suppliers and operatives by responding to queries and requests.
- Process accounts payable and receivable, and follow up on overdue invoices.
- Plan daily work routes across Scotland using mapping software.
- Assigning work to field technicians to ensure all herbicide programmes are delivered within the necessary timeframes.
- Review site reports and electronically file, flagging any issues to the Operational team.
- Ensuring job planner is accurately maintained at all times including logging enquiries, quotes, new orders and completed works.
- Set up job contract folders and ensure completeness of paperwork.
- Prepare media content including social media posts, blogs and case studies, and upload across online platforms.
Key Requirements:
- Office admin experience and report writing skills are essential.
- Proficiency in accounting software such as Sage.
- Knowledge of Scotland’s geographical locations and route planning skills.
- High attention to detail and accuracy.
- Ability to learn new skills and meet deadlines.
- Keen awareness of customer focus and brand image.
- Technical knowledge of invasive weed management or other environmental sector desirable but not essential.
- Valid driver’s license.

**Salary**: £16,744.00-£18,928.00 per year
