REED HR are delighted to support our Public Sector client in Belfast City Centre who wishes to recruit an HR Coordinator to support their team. This is an initial temporary contract up to 12 months which may become permanent

As HR Coordinator will provide an effective support service to the HR Team, ensuring facilities are maintained & Health & Safety compliance across 3 offices in 2 jurisdictions. Support Learning and Development activities across the 3 sites in line with theHR & Learning & Development Strategy

**The role**:

- HR Coordination and administrative support to HR Manager
- Coordination and maintenance of effective filing systems to support the HR Team
- Collation and Monitoring of financial and non-financial information
- Training and Development Coordination
- Health and Safety Coordination
- Facilities Management Coordination
- Procurement Coordination in line with organisational policies and procedures

**Responsibilities**:

- Create & maintain filing systems both manual & electronic to manage all information within the section
- Departmental Record Administrator for the Electronic Records Management System (Content Manager). This includes providing training, advice and guidance to staff & Managers on the use of the electronic system
- Assist HR Team review Personal Development Plans to identify Learning & Development opportunities
- Assist the HR Manager in the procurement & organisation of training/seminars & conferences
- Assist in the procurement, maintenance & monitoring of contracts within the HR budget
- Assist the HR Manager and Corporate Governance Officers in monitoring & recording Section 55 & section 75 activities achieved
- Assist in the review & updating of HR policies & procedures
- Assist in developing standard documentation for all employees regarding their employment & development
- Produce & format reports, proposals, letters, memos or charts using Word, Excel or Power point following organisation guidelines
- Assist with carrying out research tasks for ad-hoc projects across the 3 sites
- Liaise with HR & Facilities Manager on all H&S matters, revising & developing H&S documentation & monitoring risks across 3 offices in 2 jurisdictions
- Undertake routine testing of Health & Safety systems
- Assist to maintain the Planned Preventive Maintenance Contract though the NICS AMPS software in relation to facilities including reactive maintenance
- Assist to maintain & reconcile procurement expenditure in conjunction with Corporate Finance policies and procedures
- Provide cover for the HR Officer as required

**Criteria**:

- 5 GCSEs grades A - C (including English Language and Maths) or equivalent or
- Leaving Certificate (Standard/Ordinary level) - 5 grades A - C (including English Language and Maths) or equivalent
- A minimum of 2 years’ experience gained in a similar role in a HR function within the public, private, voluntary or community sectors
- Experience in administering effective HR processes
- Excellent IT Skills, including use of ICT packages i.e. Word, Outlook, Excel, PowerPoint etc
- Experience in the use of an HR computer management system e.g. PAMS
- Experience of working to tight deadlines including completing tasks and projects on time and to a high standard
- Previous experience in dealing with issues of confidentiality, data protection & information security awareness
- Experience of Health & Safety legislation and responsibilities
- Experience of dealing facilities maintenance requests
