This post would suit an extremely well motivated individual with excellent communication skills that can provide Clinic/Admin support to the service and to the wider Multi-Disciplinary Team.

The role holder will;
- Be able to utilise administrative skills and ensure work is prioritised effectively.
- Ensure that the confidentiality of service user information is maintained at all times in line with Trust policy.
- Ensure the collection of timely and accurate information in support of service needs.
- Work flexibly to provide cover to the service between the hours of 07.00am - 8.00pm, Monday - Sunday being responsive to the varying demands of the post.

The role holder will have the ability to produce high quality and accurate work which will involve a comprehensive administrative service to include:

- Front of house reception duties, welcoming all service users/visitors to the department and as first point of contact will demonstrate a sensitive, empathetic caring manner to put service users at ease.
- Operate the in-house Trust telephone system as required dealing with enquiries as necessary. The ability to signpost calls as appropriate and in an efficient manner.
- Provide an administrative service that may include: word processing of letters, reports, power point presentations, flyers and notices.
- Operate the Trust patient information system, to retrieve and record patient information. This will include:

- Booking appointments.
- Rescheduling appointments.
- Re-arranging clinic sessions.
- Updating patient demographic details.
- Open waiting lists and monitor patient appointments against waiting times.
- Taking and processing of referrals onto Insight.
- Discharging of clients from caseloads and service.
- Storage of clinical letters and documents.
- Generation of prescriptions on the service prescribing module.
- Organise and prepare daily clinic sessions and the recording of patient outcomes.
- Deal with enquiries from pharmacists, General Practitioners and service users concerning prescriptions and signpost to appropriate clinical staff.
- Deal effectively with incoming telephone/visitor enquiries. To act as a liaison link for all members of the multi-disciplinary team as well as external agencies as appropriate.
- Reimbursements of clients travel expenses where appropriate.
- Liaison with service users, carers, GP’s, voluntary agencies and a wide range of medical, nursing and other staff within the Substance Misuse Service, Sheffield Health and Social Care Trust and other external organisations and stakeholders.
- Assist the Clinic/Admin Co-ordinator to ensure appropriate systems are in place to capture and retrieve statistical information.
- Contribute to the recording and maintenance of accurate information relating to all service user referrals, outcome of assessments and discharge destinations.
- Contribute to the wider administrative team and service improvements through attendance at meetings, training days and providing cross cover for sickness absence when required.
- Undertake and participate in training to support service delivery and role delivery within the administrative function within the START team.
- Support and promote equality and diversity within the START team.

In addition to the above, the post holder may be required to carry out other duties. Such duties will be agreed with the post holder and will be within the general scope of the post and appropriate to the grading.
