N/A (although it is envisaged that you will develop the service and will become responsible for a small team of administrators, and potentially administration apprenticeships)
**Purpose of the role**
- To work closely with the senior management team to develop service provision for the core services of the organisation. This includes developing and administrating HR service provision for our small staff team and developing administration systems to ensure the smooth running of core services.
- You will develop and lead a small team of administrators to ensure that core service provision is effective in supporting the management team to ensure good governance across the core of the organisation.
**Key responsibilities**
- Develop and coordinate an efficient and effective HR generalist service within all areas of the employee life cycle for the project.
- Provide coordination and support for senior managers in core services operations, including areas such as finance, HR, data management, and administration.
- Develop and line manage a small team of administrators and apprentices to support the core services within the organisation.
- Assist and support the senior management team in all areas of the businesses administration.
- Manage and report data on core service functions, giving reports to the senior management team and management committee.
- Support the management committee, providing administrative and communication support between them and senior managers
- Attending management committee meetings and ensuring high quality administration of reports, minutes, and data for meetings.
- Support the CEO and management committee in organisational governance matters.
- Provide advice and coach managers on daily employee relations and performance management issues by advising of company policies and procedures in line with employment law and liaising with internal and external sources.
- Utilise external HR consultants to seek advice and then coordinate internal processes in liaison with managers.
- Carry out and administer DBS checks for staff members, ensuring they are registered with the update service.
- Assist with the creation, implementation, and monitoring of staffing rotas.
- Assist with the creation and implementation of a workforce plan.
- Provide advice and support to employees on employment matters, escalating any issues to the senior management team.
- Continually monitor and review HR policies and implement changes through the company handbook with consultant support.
- Undertake note taking in a range of meetings including investigation meetings and disciplinary hearings and support managers through the disciplinary process.
- Input staff information/changes into HR management systems and action contractual changes including correspondence to staff.
- Support the payroll process to ensure information is accurately recorded and input each month.
- Monitor Absence management and advise and support managers on the Absence Policy
- Support with the administration of the annual salary review and appraisal reviews.
- Support recruitment to ensure on-boarding of staff is effective.
- Carry out Exit interviews and provide feedback to management.
- Administering of Maternity, Paternity, Shared parental Leave and other company benefits.
- Implementing programs to improve the employee experience of the organisation as a workplace.
- Handling complaints and disciplinary procedures for the company.
- Arranging services for employees, such as employee assistance, benefits, and counselling services.
- Assisting with salary negotiations.
- Assist managers with Ad Hoc projects and duties when required.
- Organising of company social functions and charity events.
- Present feedback and update reports to the Management Committee.
**Criteria**
The post holder will be a highly motivated individual who shows an enthusiasm and skill for developing and administering our core services. Well organised and with an attention for detail, the post holder will be a conduit between numerous areas of operation and as such will be professional in their approaches to staff and stakeholders at all levels.
Leadership skills and the willingness to develop, with support, into a leadership role will be needed, as the service expands. This is an opportunity for the post holder to develop a small team of core service administrators to support them in their operations.
