**Office Administrator**

We are looking to recruit an Office Administrator on a permanent basis to join our Administration team at Bellbrook Park (Uckfield).

**The Role**

Reporting to the Business Unit Manager, your role will be to provide full administrative support to the Company.

Key tasks include:

- Provide full administration and secretarial support to the business.
- Greet, welcome and accommodate all visitors.
- Answer the phones and redirect calls.
- Assist with opening inbound/ sending outbound Post daily and managing postage expenses.
- Arrange couriers via the courier’s portal.
- Support with booking flights, accommodation and transport.
- Arrange internal meetings, organise meeting rooms and allocation of hot desks.
- Ensure speedy distribution of all information.
- Assist with the general running of the office on a day-to-day basis.
- Review and approve invoices received from the accounts department.
- Create purchase orders for Quality Control (QC) and Engineering departments.
- Order stationery, and vending supplies (Bidfood or KSV).
- Confirm delivery notes and action FED EX collections for the Sales Team.
- Allocate forms for HR and ISO certificates for customers.
- Collaborate with IT systems to report issues e.g printers not working or toners required.
- Handle HSE matters and maintain a central filing system for audit purposes.
- Coordinate with plumbers/electricians for repairs & maintenance.
- Oversee HSE checks (forklifts, legionnaires, emergency lighting, fire safety and more)
- Act as the point of contact for cleaners to report concerns or issues.
- Ensure all servicing for machines in the office and warehouse have job sheets on file.
- Confirm waste transfer notes are filed (CFS) for all waste collected and removed from the site.
- Keep track of waste carrier licenses and ensure they are up to date for all waste collectors.
- Conduct regular risk assessments and maintain fire records, including yearly checks for fire extinguishers and fire alarm panels.
- Maintain contractor packs with up-to-date insurance, risk assessments, method statements, & site rules.
- Organise PAT testing every 2 years and emergency light testing on an annual basis.
- Collect and coordinate weekly T Towel delivery and dry cleaning as needed.
- Coordinate cardboard bale collection and file the necessary paperwork.

Being a good all-round team player is a must as is the ability to work to deadlines and think on your feet. A proactive approach to work is essential.

You must have experience in the use of Microsoft Word, Excel and Outlook and have a good standard of numeracy and literacy.
