JOB PURPOSE To provide Clerical support to the Pathology Laboratory as a whole, and General Services/ Healthscreen in particular. As a member of a team of Clerical staff, to contribute directly to the provision of an efficient and responsive service as part of the process of diagnosis, patient care and treatment. Healthscreen UK is owned by Gloucestershire Hospitals NHS Foundation Trust. It provides laboratory services to business and industry across the country, by screening for disease and monitoring the health of at risk workers.

This ensures that companies comply with COSHH and HSE requirements. DIMENSIONS The laboratory provides an analytical and clinical interpretive service to the Health community in Gloucestershire, including all inpatients/outpatients in the Acute and community hospitals and all GP surgeries. It processes over 1.5 million departmental patient requests per annum at the two sites, most of which are triaged in the Pre-Analytical areas. The postholder has no specific budgetary or staff management responsibilities.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED - Excellent interpersonal and communication skills. - Ability to work well within a team and use own initiative. - Knowledge of Microsoft Office, including Word, Outlook and Excel. - Good administration and organisational skills including time management.
- Driving Licence would be an advantage. - Knowledge of relevant Health and Safety procedures including Manual Handling Regulations and COSHH (Control of Substances Hazardous to Health) would be an advantage, but training will be given. COMMUNICATIONS AND WORKING RELATIONSHIPS - Maintain a professional manner together with a courteous approach to customers, patients, relatives and staff. - Co-operate with Hospital and GP staff, Human Resources, Creditor Payments and Procurement Departments to ensure quality and efficiency of service.
- Liaise with other NHS staff and volunteers. - Maintain good communication with all Pathology staff. - Liaise with Line Manager with regard to training, periods of leave and cover within the department. - Liaise with GP Surgeries and Community Hospitals over transport issues.

**KEY RESULT AREAS Specific**: - Assist in the preparation of Office and Driving rotas, including contacting Drivers to provide cover at short notice for unplanned absences. - Assist in the organisation of the Laboratory fleet
- arranging servicing, new tyres, windscreens etc. - Provide customer care for Healthscreen Clients. - Answer enquiries from patients, medical staff and the public in a polite and business-like manner and take accurate messages.
- Provide routine advice and information on the correct collection, storage and transportation of samples for analysis, including health and safety precautions concerning chemicals used in sample preservation. - Maintain an accurate and effective filing systems to comply with financial, statutory and other requirements. - Receive and sort incoming and outgoing mail and reports in an efficient and timely manner. - Deal with routine correspondence and maintain confidential staff records both electronically and in hard copy.
- Input urgent requisitions onto electronic Procurement system and ensure that they are authorised and delivered appropriately. - Receipt goods electronically to enable invoice matching. - Maintain work stations in a clean and tidy manner and undertake routine safety checks and audits as appropriate. - Activate security fobs allowing access to the Department.
- Liaise with Estates department regarding minor repairs and maintenance. - Operate and conduct routine maintenance of office equipment ( photocopier, PC etc). - Other duties as appropriate to the post. General: - Work within established standard operating procedures and assist in the development of improved working practices.
- Undertake mandatory Manual Handling and Induction training, and participate in annual updates. - Participate in IT and Receptionist training courses. - Participate in individual performance reviews, agree objectives and regularly review progress against these objectives with the Pathology Office Manager. - Be aware of all Trust Policies and Procedures and to abide by them at all times.
- Ensure, as far as is reasonably practicable, the health, safety and welfare of staff, patients and visitors, in accordance with the Trust Health and Safety Policy. - Report any accidents/incidents immediately, in line with Trust Procedure. - May be asked to assist with Driver duties as appropriate. PHYSICAL EFFORT AND WORKING CONDITIONS - Daily pressures and stresses of processing a heavy work load within contractual time limits.
- Working in contaminated work areas with the potential for sharps injury. - Use of VDU. - Making repetitive movements including bending and stretching and lifting. - Working in hot conditions with protective clothing.
- Dealing with difficult situations relating to the Pathology Transport service
- breakdowns, accidents etc.
