MTS is currently looking for a Facilities Assistant at its London headquarters, situated at 65 Westcroft Square, London.

|Facilities Assistant

**Job Details**:

- Full-Time (Mon-Fri, 9am-5pm, 35-hour working week)
- Salary: £23,000 to £28,000 p.a. including London weighting and annual discretionary staff bonus, dependent on business and personal performance.
- Role type: Fixed-term (12 months), with high likelihood of making permanent after first year
- Location: Office-based role at our Head Office at 65 Westcroft Square, London, W6 0TA, UK
- Eligibility: Must be eligible to work in the UK
- Start date: Immediate start
- Reporting To: Facilities Manager

**Main Responsibilities**:

- Manage and oversee ‘front of house’ (reception desk) arrangements at MTS’s headquarters in London by being the first-line welcome to test-takers and visitors to MTS’s London headquarters during normal office hours, ensuring visitors sign in and carry out any safety procedures on arrival
- Work with the Facilities Manager on implementing venue enhancement programmes, to enhance the venue experience for all visitors, working to ensure the MTS headquarters is fully MTS-branded and that movement around the building is guided by appropriate signage
- Work with the Facilities Manager to implement appropriate venue security arrangements, to include creation of staff ID badges, visitor badges, locks, CCTV, emergency procedures, etc
- Seek feedback and act on feedback received on the overall quality of the welcome and venue experience at the London headquarters
- Provide office management support for MTS’s London headquarters, owning and managing standard processes such as: opening of the office, movement of chairs, desks, IT equipment or exam day equipment, ensuring closing office procedures are followed, following all security procedures set out by the Facilities Manager, including being the venue keys keeper and be the first point of contact regarding the intruder alarm communication events
- Act as chief fire marshal for the London office building and to be able to effectively manage an emergency, managing the other fire marshals (full training provided)
- Perform fire safety checks, and inform visitors, contractors and new joiners on the escape routes and evacuation procedures.
- Be one of the London office’s First Aiders (full training provided), maintain an accident logbook and perform the first aid contents check on a regular basis, maintaining stock records.
- Ensure general stationery and office supplies ordering, in collaboration with Procurement Manager (excluding ordering of secure exam papers which sits with the Exams team)
- Carry out facilities activities including movement or switching of signage, information screens, posters, etc
- Support changes to room configurations
- Conduct regular floor walks and identify items for repair such as broken furniture and equipment, fixtures and fittings, air conditioning, windows, blinds, locks, lockers, etc and reporting these to the Facilities Manager or others for resolution
- Manage all incoming and outgoing post and shared printers
- Ensure that shared printers and franking machines are functioning and stocked with paper and envelopes and to help fix paper jams and trouble-shoot issues
- Manage the cleaning operatives working in the London head office and cross-check the cleaning operatives’ timesheets with the schedules and check expenses with the receipts provided
- Carry out light cleaning and tidying tasks in between major cleaning interventions, eg: filling and emptying dishwasher, replenishing clean spoons and mugs for refreshments, maintaining clean and replenished tea / coffee making facilities, replenishing paper products in toilets, managing any catering suppliers or catering supplies, topping up refreshment facilities, water fountains, etc, light dusting or wiping of surfaces, keyboards, monitors, or other equipment and furniture, light general cleaning or tidying away of items misplaced, managing cloakroom arrangements on exam days, managing a lost property process and manage a secure locker for lost property, litter picking of the outside garden area, care of indoor and outdoor plants (watering), emptying of bins and replenishing bin bags
- Participate in recycling and waste reduction programmes
- Manage all incoming and outgoing post, and shared printers
- Comply fully with MTS’s GDPR and data protection policies and standards and Safeguarding (Children and Vulnerable People) policy, setting a strong example to others in this area
