**Title: Finance & Data Administrator**

**Responsible To: Finance & Operations Manager**

**Main Purpose of the Post**:
To support the Finance & Operations Manager in the management and coordination of all aspects of organisation claims, optimising efficiency and financial performance, ensuring the organisation achieves its long-term strategic objectives.

Duties can include but are not limited to, leading the running of patient searches and reporting data and the provision of support to the multidisciplinary team, ensuring all issues are resolved or escalated in a timely manner. Administration of databases and general queries.

To be responsible for undertaking a wide range of data quality and data inputting duties in support of the multidisciplinary team. Duties can include but are not limited to; read coding information from patients’ clinical records, correspondence from other care service providers and other sources on the practice clinical system, adhering to current policy and procedure.

Through innovative ways of working, drive to achieve NHS targets and changes within a profitable, efficient practice environment, supporting the exec team in promoting ED&I, SHEF, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development and ensure the organisation complies with CQC regulations.

**Basic Duties & Responsibilities of the Post**:
The following are the core responsibilities of the Finance & Data Administrator. There may be on occasion, a requirement to carry out other tasks and within other teams; this will be dependent upon factors such as workload and staffing levels:
**Data\IT Duties;**
- Monitoring patient call and recall systems
- Involvement in QoF searches, recalls and coding
- Maintain effective security of data all times
- Provide effective use of searches, audits and recalls
- Involvement with Population Management searches and systems, including use of DiiS
- Support the team in the use of the clinical system
- Provide guidance in trouble shooting when requested
- Configure searches and interpret data for audit purposes
- Initiate data quality improvement projects
- Collate the required data for reporting purposes
- Code results and upload data onto SystmOne as required
- Extracting the required data from clinical correspondence and inputting the data into the patient’s electronic healthcare record when required
- The provision of a local support service to all staff, resolving issues with IT systems and equipment
- To ensure staff adhere to practice policies regarding IT security and ensuring conformance to Information Governance
- To ensure the practice website and NHS Choices website are current and reflects the objectives of the practice
- Be an RA agent for the Practice to assist with Smartcard issues

**Operations Duties;**
- Act as a liaison between the practice and external agencies, for the timely management of all faults
- Supporting the exec team as required with projects, systems, and procedures
- Providing key performance information as requested
- Supporting the Finance & Operations Manager in monitoring compliance with health and safety legislation
- Provide administrative support for compliance registers
- Act as the primary point of contact for NHS(E), CCG, community services, suppliers, and other external stakeholders in the absence of the exec team
- Support the Business Partner in the reviewing and updating of practice policies and procedures

**Finance**
- Record-keeping; enter data onto relevant spreadsheets to enable tracking of income.
- Complete\assist with audits

**Other Responsibilities**
- Assist Finance Assistant and Care Coordinator when required
- Assist PSA and admin team if required
- Minute meetings where required
- Any other duties commensurate to the grade and as requested by the Finance & Operations Manager or other members of the Exec team\Partners
- To carry out all duties in a professional and confidential manner and adhere to all Atrium Health Centre protocols, policies and guidelines at all times
- To assist in ensuring Practice objectives are met
- Actively take part in mandatory and internal\external training as requested
- Adhere to and follow all policies and protocols as listed in the Staff Handbook and contract
- Follow all Practice Health and Safety guidelines and policies and inform the H&S lead of any infringements

**Confidentiality**:

- As per both Government legislation and Practice policies ensure that all confidentiality, data protection and information governance policies and guidelines are followed and strictly adhered to. Reporting any infringements to the Business Partner immediately.
