Executive Assistant

**OVERALL PURPOSE AND RESPONSIBILITIES**:
- Production of documentation
- Use of Microsoft 365 products, word, power point and excel
- Management of electronic document storage and filing
- Mail merges
- Taking and producing minutes of meetings
- Producing presentations
- Diary management, booking meetings, events, travel arrangements.
- Maintain accurate and up-to-date records both manually and electronically.
- To deal with all administrative matters in support of the team.
**Essential Skills, Knowledge and Qualifications**:
- Educated to GCSE level 5-9 or equivalent Level 2 qualification
- ECDL or equivalent qualification.
- Experience of producing written/typed correspondence
- Experience of taking and producing minutes
- Experience in dealing with customers' enquiries and administering effective filing systems.
- Experience and working knowledge of MS Office software packages and use of Outlook and MS365
- Excellent administrative & organisational skills, solving problems where encountered.
- Time management skills including the ability to coordinate appointments and colleague’s schedules.
- Excellent typing/keyboard skills ideally with 50 wpm
- Ability to maintain high degree of discretion and confidentiality.
- Manages and prioritises time and tasks effectively, identifying steps needed to accomplish tasks.
- Able to work under pressure, meet deadlines and remain calm under pressure.
- Good attention to detail and accuracy
- Ability to create and format presentations.
- Good interpersonal and communication skills together with a high level of emotional intelligence
- Able to effectively deal with difficult and challenging situations.
- Demonstrates patience, diplomacy and able to show empathy for others whilst balancing the needs of the business.
- Excellent customer service skills
- Firm commitment to accountability, performance management, target setting and monitoring.
- Manages and prioritises time and tasks effectively, identifying steps needed to accomplish tasks.
- Remains focused and productive and maintains quality of work when under pressure.
