Responsive Repairs Coordinator

Location: Margate, Kent

Type: Temporary / ongoing

Hours per week: 37

Pay: £ 11.00 p/h

We are currently looking for a Responsive Repairs Coordinator for our client based in Margate.

JOB PURPOSE

To Provide administrative support to the responsive repairs team, maintaining clear and accurate records relating to responsive repairs, complex repair issues and maintenance activities at void properties.

Working with contractors, internal departments, and other external bodies to ensure customer's repairs are dealt with effectively and through to conclusion.

PRINCIPAL ACCOUNTABILITIES
- Use repairs and maintenance monitoring systems and portals to ensure that all repairs-related data is up-to-date and accurate.
- Take a proactive approach to repairs-related data, identifying gaps and following up with contractors accordingly
- Interrogate and extract repairs-related data from digital systems in order to respond to queries and to provide data for performance reporting
- Act as a point of contact for colleagues, contractors, tenants and leaseholders, sourcing and communicating information as required.
- Ensure that all contact with tenants and leaseholders is recorded in the housing management database.
- Raise purchase orders and ensure that payments to contractors are accurately processed within agreed timescales, and that all systems are updated.
- Work collaboratively with other teams to ensure tasks and actions are followed through to resolution, for example resident involvement, housing team, compliance team and the project team.
- To manage diaries, prepare papers or presentations for meetings and follow up/monitor actions
- Identify improvements to the services we provide to customers or the way the team works and make suggestions to improve efficiency.
- Embrace a culture of customer satisfaction, continuous improvement, and value for money, adopting high standards of conduct and communication.
- To investigate and respond to complaints and comments about service delivery
- Comply with all Health and Safety requirements and standards.
- Participate in the Council's major emergency arrangements, fulfilling key roles within the Major Emergency Plan as required.
- Undertake other duties commensurate with the grade of the post as required.

REQUIRED ATTRIBUTES
- An aptitude for or understanding of property maintenance.
- Organisational skills such as multi-tasking, use of initiative, problem solving, working independently and prioritising workloads.
- Ability to work as part of a team.
- Excellent interpersonal skills, with the ability to develop effective partnerships with staff from other council departments, other organisations, and agencies.
- Excellent communication skills,
- Able to work on own initiative.
- Experience of providing accurate administrative support, including writing formal correspondence to customers
- Experienced in the use of databases, spreadsheets and word processing
- Experience of dealing with customers from different backgrounds, and delivering high levels of service
- GCSE at Grade C or equivalent in Maths and English or equivalent administration qualification
