**Company Secretarial Assistant - Legal Department**

**London Victoria Office - hybrid-working**

Ebury is looking for a Company Secretarial Assistant to join the legal team focusing on company secretarial and document management responsibilities. We are looking for an enthusiastic and driven individual who is keen to work in a fast-paced, dynamic and growing company which is focused on building the Ebury brand. The person who fills this role will report to the Company Secretary.

**Key responsibilities include**:

- Assisting with statutory compliance for Ebury subsidiaries globally including updating statutory records in Diligent Entities;
- Assisting with the preparation and circulation of board and committee papers;
- Assisting with arranging execution of company resolutions and associated logistics including notary and apostille where necessary;
- Preparing board and committee minutes for certain overseas subsidiaries;
- Preparing UK statutory forms and filings with the Registrar of Companies and updating statutory books and records;
- Assisting with issued share capital management;
- Updating the group structure chart;
- Assisting with KYC requests from external stakeholders; and
- Administration of the Diligent board system.

**Document Management**
- Assisting with the implementation of a new document management system within Ebury;
- Assisting with the configuration of the document management system features such as access profiles and document workflow procedures;
- Managing the collation and uploading of existing documents as well as new documents created within the organisation;
- Assisting with the establishment, documentation and implementation of best practice and system usage procedures;
- Administering document and system access rights to ensure security of the system; and
- Consulting with users regarding any problems with accessing the system or locating content.

**Key skills requirements include**:

- Ability to work independently, under pressure and to tight deadlines.
- Educational background in law (for example, a law degree, GDL or LPC).
- Experience in the legal sector, particularly in a law firm or a financial services institution, is preferred.
- Excellent verbal and written communication skills.
- Excellent attention to detail.
- Strong organisational skills.
- A team player who works well with different personality types.
