The Role
- The Office Coordinator will be responsible for the general day to day running of the office which will include, but not limited to
- adhering to office procedures,
- following all Health & Safety policies,
- managing samples and being responsible for all UK customer service queries.
- They will work closely with the Office Manager to ensure processes and duties in the office run efficiently.
- They will maintain clear records of office expenses, managing invoices and ordering supplies.
In addition, they will support & perform administrative duties to the SVP of Europe which will include but are not limited to diary management, scheduling meetings, reservations, travel arrangements etc. They will also provide support to all areas withinthe office and assist with internal or industry company events.
**Responsibilities**:
- Front of House management
- Ensure all areas within the Offices & Showroom are well maintained and in a presentable manner on a daily basis
- Manage the samples process including the sourcing, handling & delivering of samples
- Inventory Management and handling for all samples within the Office.
- Responsible for UK Customer Service, working with the US customer service team to resolve queries in a timely, professional and efficient manner.
- Manage all incoming and outgoing post, samples & deliveries
- Booking and arranging travel, transport and accommodation (Including additional administrative
- Manage office supplies including food/catering, stationery, IT equipment & cleaning goods
- Assisting with new starters and leavers, working collaboratively with HR & Line Managers to follow the current processes in place
- Previous experience in a similar/Office assistant/PA role
- Prior client-facing or customer service experience
- Excellent verbal and written communication skills
- Working knowledge of all Microsoft Office packages and courier systems
- Exceptional organisational, time management & prioritising skills
- Ability to maintain strict confidentiality
