**Business/Projects Administrator**

**Job Opportunity**

STS Limited, based on the 20/20 estate in Maidstone are looking for an experienced Business / Projects Administrator for an immediate start, to support all aspects of the electrical installation projects and control panel construction business.

**Skills Required**:

- Excellent IT skills particularly MS Excel, MS Word, Sharepoint
- Excellent communication skills, both verbal and written
- Ability to think laterally and experience of working using own initiative
- Highly accurate
- Organised / Methodical / Flexible
- Team worker

**Desirable Skills**
- Knowledge of electrical installation projects
- Understanding of Human Resources policies & procedures
- Understanding of Health & Safety legislation, policy and procedures

**Job Type**:

- Part-time/ Permanent

**Salary**:

- £16.00 per hour for 30 hours a week DOE

**Holiday**
- 20 days a year plus bank holidays

**Schedule**:

- 4 days - must include a Wednesday
- 7.5 hours day - 8.30am - 4.30pm with 30-minute lunch break
- Must be flexible in changing days when required

**Experience**:

- Minimum 3 years administrative / Project Management experience, preferably in an electrical business environment

**STS Job Description**

**Job Title: Business / Projects Administrator**

**Reports to**: STS Managing Director

**Main Purpose of Role**

Working in a busy office with a team of people to provide all administrative support as required.

Recording timesheet data and producing PAYE calculations ready for Sage input by others.

To provide support and cover for the Purchasing Officer.

To support the management of projects i.e. Variation Accounts, Applications for Payments, Risk Assessment documents, Technical Submission documents.

**Key Responsibilities**
- To accurately record weekly PAYE timesheets information and calculate PAYE hours & expenses for pay and job costing purposes at the end of each month.
- Check invoices received against original Purchase Orders and query & resolve discrepancies.
- Set up Variation Summary accounts with QSORs, Applications and new Project documents (including Risk Assessments, Technical Submissions Documents) for all new projects.
- Record project variations on Project Variation Summary; to save all associated documentation as required.
- Create and distribute monthly Company Financial Calendar.
- Completing PPE Questionnaires and supplying relevant documentation.
- Maintain Site Folder information returned by site managers.
- Communication with Site Managers, operatives, Clients, suppliers, verbally and in writing.
- Enter NICEIC certificate & testing information onto the IT system.
- Maintain NICEIC information, including NICEIC certs, Calibration certs etc.
- Organise job advertisements and recruitment processes
- Maintain staffing records and update Training Matrix.
- Order staff uniform/ PPE
- Arrange staff training courses
- Produce Employment Contracts and other documentation for new starters.
- To cover for Purchasing Officer, obtaining quotes, raising Purchase Orders, recording POs on the PO schedule, booking site delivery/ collection slots, hire/ off
- hire plant & equipment and recording details on the Plant Register.
- Resolve any issues with fleet vehicles, including amending insurances, hiring and swapping vans, liaising with the hire company.
- Procurement of office equipment & services.
- Maintain filing systems and filing invoices when signed off.
- Carrying out general administrative functions as required including answering the telephone, opening and distributing post, dealing with callers to the office.
- Setting up new systems and processes to ensure the smooth running of the office.
- Use of IT systems, including but not exclusively, Microsoft Outlook, Word, Excel, SharePoint, NICEIC software.
