We are seeking an organised Facilities Assistant with great attention to detail and communication skills to join our Facilities Management Team. The Facilities Assistant will be responsible for the management of property maintenance systems in their region. They will also be responsible for data analysis, administration, preparing purchase order numbers, checking invoices and approving payments.
What you'll do
- Supporting the Facilities Manager for Stores in maintaining our property management system IMS i.e. ordering reactive repairs, scheduling Planned Maintenance, managing store assets.
- Administration - Coordinator of Facilities related procedures & documentation including both paper and electronic formats.
- Main point of contact for FM systems between Facilities Head Office and Regional Facilities colleagues.
- Issuing Purchase Orders and other correspondence on instruction.
- Confirming goods/ services received on Purchase Order system.
- Reconciliation of invoices - Process invoices and ensure that all material purchased are invoiced correctly, cross checking against original Purchase Order for sign off.
- Cost Analysis - Carry out monthly analysis and prepare reports for the Facilities Manager Stores of relevant Facilities related accounts comparing actual spend to planned spend.
- Supporting Property Executive, Senior Facilities Manager and the wider Facilities team in administration and reporting.
What you'll need
- Previous Facilities experience desirables, but not essential.
- Excellent. MS products skills (Excel, PowerPoint & Word).
- Very organised and self-motivated with a proven ability to work to tight timescales.
- Excellent interpersonal & communication skills both written and verbal.
- Meticulous attention to detail.
- Ability to maintain confidential information and be discreet when dealing with sensitive issues.
- Strong administration, organisational and analytical skills.
- Ability to work unsupervised and as part of a team.
