PROJECT BACKGROUND
The West Africa Biodiversity and Low Emissions Development (WABiLED) Program is a four-year program funded by the United States Agency for International Development (USAID) with 3 core objectives: combat wildlife trafficking and enhance great ape conservation; reduce deforestation, forest degradation, and biodiversity loss in key transboundary forest landscapes; and reduce greenhouse gas emissions and increasing carbon sequestration from land use. WABiLED is implemented by Tetra Tech ARD with five subcontracting partners including TRAFFIC, Born Free USA, Winrock International, Re: wild and Dalberg Associates.WABiLED’s activities at the regional, local, and national levels will generate knowledge and information that will ensure that conservation and development best practices can be used to inform laws and policies.To achieve these ambitious objectives, WABiLED will work with public and private sector partners to strengthen the capacity of national and regional networks and institutions to enforce and prosecute wildlife trafficking laws across the region; implement regional and transboundary cooperation and biodiversity conservation strategies in the key forested countries of Guinea, Liberia, Cote d’Ivoire, and Sierra Leone; and improve capacity for economic planning and development of low emissions development strategies to reduce West Africa’s greenhouse gas emissions thus contributing to national and global climate commitments.

CHARACTERISTIC DUTIES

This position is responsible for ensuring the consistent and efficient administration for projects
which TRAFFIC International has financial and reporting responsibilities. The project administrator
will predominately assist the TRAFFIC project team in Accra, the UK and Europe by ensuring the
consistent and efficient administration for WABiLED. The Project Administration Officer will work
closely with various members of the Project Support Unit in Cambridge and throughout TRAFFIC. The
Project Administration Officer is the key contact point with external donors for contractual and
reporting issues.
SPECIFIC DUTIES

Organising and reporting back on external and internal workshops, meetings and calls as
required

Assisting the TRAFFIC Team with project support duties such as logistics and travel in
collaboration with WABiLED logistic and administrative team in Ghana
Supporting project co-ordination, management, research and tracking progress in the
delivery of the project including establishing a monitoring system and alerts for deadlines
Reviewing, advising and negotiating on the terms of donor contracts and agreements.
Registration of projects and the maintenance of data in a central project database.
Organising any necessary outgoing project funding agreements and arranging for the timely
transfer of funds to TRAFFIC offices.
Advising the project team on the management of project finances, maintaining cash-flows and
assisting with budget forecasts and liaising with the project team on a day-to-day basis.
Maintaining project files and archive.
Working with TRAFFIC offices and staff to ensure the timely preparation and submission of
project financial reports, project technical reports and any other documents required by
donors.
Preparation, if required by donors, for project audits including the collection and review
of supporting documentation from the TRAFFIC offices.
Preparation of project documentation for annual statutory audit and providing additional
information during the audit as required.
Supporting as required the team on proposal development and proposal submissions for the
network.
Assisting with the preparation of training materials and participation in training sessions
for network staff.
Any other duties relevant to the role

**REQUIREMENTS**:
Educated at least to A' level standard
Experience working in a similar position for a Government, NGO or charity organisation an
advantage
Relevant and proven experience in project administration, budgeting and contracting
Experience of working with USAID, FCDO and Government aid agencies an advantage
Experience working with financial reports and preparing donor/project reports.
Computer literate with an emphasis on using spreadsheets and Microsoft project an advantage
Excellent communication and interpersonal skills and have strong organisational ability
A good team player used to meeting tight deadlines and working under pressure and also
willing to work on own initiative
Strong fluency in written and oral English required with fluency in other languages,
especially French, an advantage
Knowledge and experience of working in West Africa an advantage
