**Office Administrator**

**The role description**

The Office Administrator maintains the daily running of the office and the communication within Malco Services Ltd and our Clients to ensure efficient business and office operations.

The Office Administrator is responsible for several functions within Malco Services Ltd and will develop a deep understanding of the company’s policies and how to implement them.

The role includes some bookkeeping tasks, including using Xero accounting to issue and process invoices, bank reconciliations, issuing statements, help in preparing monthly payroll for external payroll provider and VAT Returns.

The Office Administrator is responsible for maintaining the Companies Digital and hard copy file systems.

Ultimately the main responsibility is to assist colleagues and clients for seamless business operations.

**Outline of main duties and requirements**:

- Management of the companies, clients, financial and legal documentation.
- Managing inventory of office supplies.
- Using Xero accounting, process purchase invoices, assist with producing and issuing sales invoices; undertake weekly bank reconciliations and issue statements.
- Help to prepare the monthly payroll for Payroll services.
- Submission of the quarterly VAT returns.
- Production of monthly financial reports.
- Developing office procedures and providing feedback to improve internal performance.
- Support the office team with administrative tasks as needed.

Please note that this is not an exhaustive list of responsibilities and qualifications. The Office Administrator will be expected to perform additional tasks as assigned by the management team.

**Skills**:
Confident and articulate telephone manner coupled with strong written skills.

Ability to build strong relationships with both colleagues and clients.

Proficient in standard Microsoft IT packages and processing computer-based information.

**Knowledge and experience**:
Good general education with a minimum of 5 GCSEs to include English and Maths grade C and above or equivalent.

Proven administration, financial accounting, and budget management experience.

**Behavioural qualities**:
Methodical and thorough approach to tasks

Ability to deal with a wide range of people in an impartial, diplomatic, and professional manner.

Proactive attitude to anticipate problems and find solutions with a positive attitude.

**Other**:
Eligibility to live, work and remain in the UK.

**Working hour requirements**:
The role of Office Administrator is a part time position, 20 hours per week, 4 hours per day, Monday to Friday, to be carried out between the hours of 9am to 3pm.

**Job Types**: Part-time, Permanent

**Salary**: £13.00-£15.00 per hour

Expected hours: 20 - 25 per week
