**Estates Administrator**

**The Portland Hospital, London**

**Full Time, 37.5 hours/ week.**

**Shifts: Mon - Fri 08:00 - 16:30**

**Permanent**

**Salary**:£36,000 per annum**

Estates require an administrator for overseeing and coordinating various administrative tasks engineering central allocating work requests to engineers ensure that they are closed out in a timely manner ,that daily hours are recorded for engineers on work day, that requisitions are completed accurately included month end accrual ,Image now ensure invoices are matched with orders and correct budget code before processing payment. That all service contracts are current and renewed timely before expires.

**What you’ll do**:
- Liaising with departments to ensure completion of works- To update spreadsheets- Ensure requisitions are completed accurately, with relevant information and ordered against correct budgets codes- That orders are placed in a timely manner & all goods or services received are included in month end accrual- Image now ensure invoices are matched with orders and correct budget code before processing payment- Maintenance contracts that all service contracts are current and renewed timely before expires- Ensure that estates team daily hours are inputted on to workday that annual leave is recorded in line with HCA policy ensuring that the department is covered at all times- Ensure all tasks are allocated correctly to engineers and given correct priority on a daily basis- Ensure that estates team mandatory training is in place and up to date- Fire, water, medical gases, electrical & air committees- Ensure diary days are booked for all above- Ensure that minutes are taken and written accurately

**What you’ll bring**:

- Proven capacity to protect confidentiality of the department
- Intermediate to Advanced IT skills and experience
- Strong verbal, written, numerical and communication skills
- Liaising with hospital departments to organise consultant sessions, patient procedures.- Be familiar with the Hospital health and safety rules and local policies.
