Title : Site Administrator

The Purpose (of the role):
Undertake a wide range of high level administrative and general support duties of a highly responsible and confidential nature.

Work independently with general guidance on a variety of administrative duties and projects. Act as the primary point of contact for internal and external customers which requires a high level of tact and diplomacy. The position requires a good knowledge of the AB InBev policies and procedures.

The role:

- ZBB and Budgetary Control - support & analyse spend packages and sub packages with Site PPM and People Team.
- Employee Personal File Maintenance - with People Team.
- Product Allowance - annual nomination process
- Site Expert User for MCRS Tool
- Issue ID cards
- Stationery orders through correct approvals process
- Finance - SAP Purchase Orders - queries resolved effectively and on time
- Purchasing card managed and costs re-charged correctly to appropriate departments
- Support Brewery Operations with TMS
- Agency Timesheets, overtime processed - discrepancies actioned
- Plan, co-ordinate and publish Site Briefs and responsible for collating and updating presentations and slides for TV screens
- Manage site work-wear policy including PPE.
- Manage and coordinate onsite Company Shop.
- Support People Team and cover basic admin tasks - act as holiday cover and general support
- Travel Arrangements for Brewery Operations - manage and control often complex international and domestic travel, ensuring whole package comes together (ever mindful of Zero-Based Budgeting guidelines)
- Team Support - Continuous support of immediate team and wider Brewery Operations Teams, including ad-hoc events, e.g. Christmas Lunches, Fun Days, etc.
- External/Internal meetings planned and coordinated as required, liaising with Catering as appropriate.
- Conference Centre booking - re-charge correctly to appropriate departments.
- Administrators cover to be arranged during holiday and absence.
- Skills Matrix - co-ordinate, analyse and report on all training hours on site

Who we’re looking for:

- High degree of computer literacy (Excel, PowerPoint, MS Project, Outlook, etc.); including internal systems such as SAP.
- Sound Knowledge of the Brewery operations processes
- Strong organization skills; adheres to deadlines; provide efficient and professional support to the Site
- Demonstrates negotiation skills
- Good analytical and problem solving skills - Independent, proactive and open for innovative solutions
- Multi-task and prioritise (priority management and time management skills)
- Excellent oral and written communication skills (communicate with diverse range of internal and external customers and other key contacts)
- Discreet and able to deal with confidential information
- Highly results focused, and with a strong attention to quality and detail
- Highly structured and systematic approach to delivering business solutions
- Excellent team player, able to develop strong relationships with colleagues and peers
