**Post Title**: Business Services Co-ordinator

**Location**: Based at Manor Park Surgery (travel between sites when required)

**Responsible to**: Head of Business Services

**Status**: Permanent

**Hours**: 25 - 37.5 hours per week, including an unpaid 30m daily lunch break.

**Salary**: £22,152 - £23,927 depending on experience (pro rated).

Contractual requirement to carry out un-paid overtime working which may include weekends, evenings and public holidays.

**PURPOSE OF THE JOB**

This position will report to the Head of Business Services and will support the co-ordination and delivery of key Business Services activities within deadlines set by Business Services Team, The Partners, CCG and NHS England.

The Business Services Team incorporates key areas including Human Resources, Information Systems, Data Quality, Facilities, Finance, Procurement, Risk Assurance and Compliance. The Business Services Co-ordinator will be varied, interesting and will touch on all aspects within the Business Services Team.

This is an exciting role where the successful applicant will be able to work with the Head of Business Services and Business Services Managers to shape and deliver future business strategy.

**MAIN DUTIES AND RESPONSIBILITIES**
- Co-ordination and support for the Head of Business Services to deliver key Business Services activities and projects to ensure that our colleagues have the support and tools to do their roles to deliver a quality service to our patients.
- Co-ordination and support for the HR function, working with the Head of Business Services and our HR company with ongoing HR administration and key projects e.g., Annual Leave admin, Absence Management admin, Workforce reporting, HR process controls and updates, preparing training packs, etc
- Co-ordination and support for the Information Systems and Data Quality Manager with ongoing systems and quality administration and key projects, e.g., support for any systems changes, admin for systems training support, systems reporting, etc
- Co-ordinate and support the Finance function, working with Head of Business Services to deliver cost management, payroll and all financial information required by accountants, ICB and NHS England.
- Co-ordinate and support to facilities function, working with Head of Business Services to deliver building management and maintenance to meet health & safety standards. Provide a good working environment working with Support Services Management and Site Co-Ordinators.
- Provide regular reports and audits from Practice Systems to effectively manage Business Services process e.g., Annual Leave, Absence, Training, Appraisals, new starters and leavers, IT issues log, IT inventory, Risk Assurance, CQC reporting, etc

Qualifications and experience

**Essential**
- Excellent planning and organising skills with the ability to reprioritise and manage workloads to hit business deadlines
- Good communication skills, written and verbal
- Excellent attention to detail and accuracy with the ability to collate, interpret and simplify data/information for Managers to review
- Be able to influence and build relationships at all levels with internal and external stakeholders and suppliers
- Ability to maintain confidentiality and professionalism
- Able to work on your own and within a team environment
- Able to demonstrate flexibility and adaptability in a changing and challenging business environment
- Must be able to confidently use Microsoft packages including Outlook, Excel, Word and be able to learn new systems quickly
- Have a proactive, can-do attitude where there may not be any immediate answer or solution
- Have experience of MS PowerPoint/SystmOne/other databases
- Educated to GCSE grade C/4 or equivalent in English and Maths

**Desirable**
- Finance/Payroll experience
- Understanding of Health & Safety/Risk Management
- People Management
- HR Experience
