**Administrative Assistant**

The School of Earth and Environmental Sciences at Cardiff University is a dynamic and successful multi-disciplinary centre devoted to teaching and research in the disciplines of Earth and environmental sciences.

Applications are invited for the post of Administrative Assistant. This role will provide support and guidance on administrative tasks across a range of areas of the School, for example general administration, organisation, safety as well as staff and student facing duties. The post is to ensure that the School’s professional services (administrative and technical) and academic staff are supported, and key duties undertaken.

You should be a first-class administrator with a positive, can-do approach, be a professional and friendly point of contact for staff and a flexible member of the Professional Services team. If you have strong organisational skills, can work quickly with a high level of accuracy, take responsibility for your own work and enjoy contributing to a positive working environment, we look forward to hearing from you.

This position is full-time (35 hours per week), available immediately and is open ended.

**Salary**: £22,197 - £24,144 per annum (Grade 3)

**JOB PURPOSE**

Provide an administrative service to the School, engaging in and completing a range of small projects and routine tasks to meet operational and customer service requirements. Provide support and guidance on administrative tasks across a range of areas of the School, for example general administration, organisation, safety as well as staff and student facing duties. The post is to ensure that the School’s professional services (administrative and technical) and academic staff are supported, and key duties undertaken.

This role is campus based as it will involve reception duties. The University is committed to offering flexibility, wherever the role and business need allows, supporting work-life balance.

To complete a training programme as set out by the School of Earth and Environmental Sciences in conjunction with training provider as part of an apprenticeship scheme with a view to obtaining skills and expertise in general administration activities within higher education.

**DUTIES AND RESPONSIBILITIES**

**Key Duties**
- Deal with a range of enquires from internal (staff & students) and external (members of the public) customers in a professional manner, establishing their needs and adapting the standard responses accordingly.
- Work with others to make recommendations for the development and improvement of current University processes and procedures.
- Create good working relationships with key contacts to help improve service levels.
- Undertake a variety of administrative duties to support the team and School.
- Gather and review data to update administrative systems such as databases and spreadsheets, making sure the information is accurate, and highlighting to your line manager basic trends and patterns.
- Actively contribute to the success of the team and support the supervision and management of it.

**Specific Duties**
- Provide administrative support to the School Manager, and other staff as directed.
- Gather and review data for Head of School and School Board (for example, but not restricted to - general School and operational data, education and student information, safety information, inventory reporting).
- Produce documentation, plan and organise events e.g. School staff meeting. As needed, take minutes/notes and ensure any travel arrangements are made.
