The Event Administrator will be responsible for working alongside the Project Coordinator and Operations Manager to support in all elements of coordinating the labour and logístical elements of our technical and scenic projects. This role requires a high level of attention to detail, strong organisational skills and the ability to multi task whilst working under time led deadlines. This position will report into the Operations Manager whilst working closely with our Projects Department in supporting the successful delivery of their projects.
**Objetives of this role**:
**Operational Objectives**
- Assist the Project Coordinator and Projects Department to obtain logístical requirements for each project (labour, logistics, accommodation, travel, parking, car/van/truck hire).
- Work alongside the Project Coordinator to divide up the requirements for each project and ensure all elements are fulfilled accurately.
- Support the Project Coordinator in the input of information into TeamTrack (logistics software) where required.
- Be involved in supporting the day-to-day operational aspects of the business to ensure accurate communication is delivered throughout all areas of the company.
**Administration Objectives**
- Work with the Project Coordinator to carry out cross checks to ensure that all projects are inserted into TeamTrack (logistics software)
- Support the Project Coordinator in booking crew/freelancers/technicians - includes checking availability, obtaining quotes, creating and issuing accurate Purchase Orders to confirm bookings.
- Obtain truck/van/hire/ferry quotes where required.
- Assist in booking accommodation/travel etc for upcoming projects
- Support in the quotes and ordering of warehouse and workshop consumables
- General office administration duties where required - assisting in answering telephones, ordering stationary etc
- Supporting in the creation of monthly Catalyst Communication documents
- Assisting in the management of the receipt of ‘Goods In’
- Supporting the Project Coordinator to ensure all Freelancer records are up to date - Insurance/Driver License Checks etc
- Assisting the Operations Manager with the ordering of plant for events
Your hours of work are 42.5hrs per week, with 2.5hrs unpaid break. From time to time you will be expected to work beyond or out with this pattern dependent on the operational requirements of the business which may include evenings and/or weekends.
Event Administrators are paid per hour, any overtime incurred is paid at the standard hourly rate. Applicants must have a checkable work history and a can do attitude.
