We are looking for a motivated and experienced administrator to join our busy medical education team to provide high quality and comprehensive administrative support to the MSEFT Senior Medical Education Manager and MSEFT Director of Medical Education.
To provide high level administrative support with regards to diary management, minute taking, report writing, project support and coordination.
The post holder will be expected to work on their own initiative at all times with minimum supervision and be required to communicate effectively and efficiently with all levels of management including Executive Management, displaying a high level of tact and diplomacy at all times.
- General administration work including note taking and report writing for medical education activities for example at MSE Medical Education Meetings, Induction Planning meetings, ICB meetings.
- Day-to-day diary management and organising teams and face to face meetings
- Advanced IT skills including all Microsoft office packages (word, excel, powerpoint) and Teams
- Collation of relevant data and preparation of reports as directed (eg. quality reports and action plans, surveys)
- Assist with compliance monitoring of key requirements such as mandatory training, appraisals and sickness absence reporting
- Develop and review MSE medical education policies
- To ensure confidentiality and conformance to Data Protection Act a
- To assist the MSEFT Senior Medical Education Manager with setting up meetings and to act as a scribe as and when required.
- To assist in updating of the Standard Operating procedure (SOP) for the administration team.
- Produce support materials as directed by the MSEFT Senior Medical Education Manager.
- Active involvement in development and updating of data held on the Medical Education intranet and web pages are up to date and fit for purpose
- Accurately and securely maintain records on relevant information systems, including inputting changes onto and retrieving data from the system.
- Produce reports generated from information systems as required.
- Undertake information gathering and research exercises as required and respond to ad hoc requests for information
