Accreditations Administrative Coordinator

**Job Purpose**
As part of a pioneering organisation, the Adam Smith Business School is looking to invest in additional administrative support for the accreditation team activities working with the Accreditations, Rankings and Communication Manager (ARC) and the Senior Accreditation officer.
The role holder will manage alongside the team, accreditation and award projects from inception through to implementation that will support the strategic themes of the business needs of the School. The role holder will contribute to the School’s triple crown accreditations, as well as other awards, ensuring continuous improvement as well as supporting the brand and reputation to meet the School strategic objectives:

- Association to Advance Collegiate Schools of Business (AACSB)
- Association of MBAs (AMBA)
- The European Quality Improvement System (EQUIS)
- Athena Swan
- Principles for Responsible Management Education (PRME)
- Chartered Institute of Personnel and Development (CIPD)
- Charted Management Institute (CMI)
- Charted institute of Marketing (CIM)

**Main Duties and Responsibilities**
1. Responsible for providing administrative support to each of the Programme Directors for the programme accreditations all areas of accreditation provision to ensure the smooth operation of preparations and availability of accurate and timely information across the School’s management information systems by:

- Chartered Institute of Personnel and Development (CIPD)
- Charted Management Institute (CMI)
- Charted institute of Marketing (CIM)
- Exercising initiative and judgement to ensure effective delivery of accreditation administration
- Implement improvements to existing process and create new ones where needed, ensuring these meeting the University wide QEA procedures
- Providing support, guidance and knowledge to students who would like to attain the accreditations award
2. Responsible for providing administrative support to each of the Director of Accreditations and Rankings and Accreditations, Rankings and Communications (ARC) Manager in all areas of accreditation provision to ensure the smooth operation of preparations and availability of accurate and timely information across the School’s management information systems by:

- Association to Advance Collegiate Schools of Business (AACSB)
- Association of MBAs (AMBA)
- The European Quality Improvement System (EQUIS)
- Exercising initiative and judgement to ensure effective delivery of accreditation administration
- Ensuring awareness of School and University wide QEA procedures to inform the accreditation report and supporting documentation
3. Manage preparations for accreditation visits, including:

- liaising with accreditation bodies to agree visit dates, travel and accommodation for peer review team
- create and agree timelines with appropriate colleagues ensuring awareness and nature of responsibility during the visit
- manage and organise briefing session ahead of visit with all staff, students and other stakeholders
- manage and organise any mock visits ahead of actual peer review visit
- ensure peer review team are fully prepared ahead of arrival for visit, full access to documentation and any additional information requests are met
4. Contribute to the review of accreditation procedures within the School in order to recommend development and improvements in the collation of data and supporting documentation in response to the requirements of each accreditation body by:

- To raise awareness of the importance of accreditations awarded, by agreeing a communication strategy with the ARC Manager and disseminating information, e.g. quarterly newsletters, summary updates for all staff
- Creating process maps
- Creation of FAQ’s
- At the end of each accreditation process conduct an administrative review and recommend revisions or improvements to School wide processes which support the collection of accreditation data and report to the Accreditations Committee
5. Proof reading of the documentation prior to final submissions, including the self-evaluation report, executive summary and appendices for AACSB, AMBA, EQUIS, Athena Swan and PRME
6. To provide diary management for the ARC manager and Director of Accreditations and Rankings
7. Work closely with the Brand and Reputation team to support the branding of the School. Acting as a main point of contact with the supplier to discuss branding, implementing improvements to existing processes and be responsible for overseeing the ordering of branding merchandising.
8. Support and contribute to other existing awards and new School awards such as BSIS, Small Business Charter, Understanding Racism, Transforming University Cultures and Global Business School Network Business Schools and the Positive Impact Rating_._
9. Deliver large volumes of complex data, including manipulating and maintain the existing ACADEM system with the various sources of data needed for the accreditation and rankings processes. This will involv
