**HR Data / MI & Operations Coordinator - About the role**

You will be responsible for managing and reporting on HR data, as well as supporting day-to-day operations to ensure that the HR function runs smoothly.

Working closely alongside the HR Coordinator, this position will ensure the accuracy data and support the HR team and business with HR data and MI requests, including analysis and reporting.

You will also support the wider HR function by ensuring that administrative tasks are completed in a timely and accurate way, which will include supporting projects and implementing operational efficiencies.

**HR Data / MI & Operations Coordinator - Key duties**

**MI & Reporting**

Work with the HR Coordinator and Specialists’ to create the monthly HR pack for the Board and quarterly HR pack for the Executive Committee (ExCo).

Create ad-hoc HR reporting as required for staff retention/turnover, engagement, sickness/absence.

Establish robust and accurate monthly manager reports as required, e.g., for absences. Incorporating Circle MI functionality for managers.

Support requests for HR data/reporting to assist with external audits.

Support with production of data for engagement surveys.

Support the People Team to build stakeholder relationships by providing global workforce data that drive insights for continual improvements

Creation of Process Maps - develop and own process maps across the team

**HR Operations**

Respond to employee and manager queries/issues escalated by the HR Coordinator and provide support for the HR inbox as needed. There will be a clear line of enquiry route e.g. what role deals with what type of enquiry.

Provide cover for HR Coordinator and associated tasks as required.

Manage the leaver process, including preparing and issuing resignation acceptance letters, monitoring exit surveys and, preparing and carrying out exit interviews.

Support the onboarding process, including presenting the HR Induction presentation.

Carry out probation check-ins with managers for months 2 & 3 and provide support on any concerns/process extensions as required. Any serious concerns are escalated to the HR Specialists.

Prepare and issue contract amendment agreements (for more complex employment changes) and update the required documents and departments.

**HR Projects**

New hire on-boarding: Work with the on-boarding team to help ensure new employees (and their managers) have appropriate induction and orientation plans in place.

Support the bi-annual performance review processes, reporting on review metrics and working with employees and team leaders to ensure completion.

D&I - partner with the D&I team to support and participate in D&I initiatives internally/externally and ensure that the voice of HR is part of our approach to diversity and inclusion.

**HR System Improvements & Developments**

Work alongside the HR Coordinator to promote effective use of the internal platform across the business (to both managers and employees for self-service) and to Group level.

Manage system updates, such as the new holiday year process and conduct regular system audits to ensure that the system data is accurate and reliable.

Drive improvements to the functionality of our systems, continually strengthening data security and governance processes to ensure they meet the changing needs of the business.

**Diversity & Inclusion (ESG)**

Develop processes to measure, record and report on existing diversity metrics, including recruitment diversity statistics and how we are meeting our targets, areas to improve on and key trends.

Work with the ESG team to implement and develop reporting processes and metrics to the wider organisation and investors.
