The Healthcare Management Trust (HMT) currently has an exciting opportunity for a Clinical Governance Assistant to join the team and provide effective and efficient clerical and administrative support across HMT in relation to Clinical Governance.

The scope of clinical governance is broad and covers many activities that help to support, improve and advance the standards of care delivery. Clinical Governance Assistant will therefore support various workstreams including, but not limited to, patient safety and involvement, complaints, clinical Audit and quality Improvement, clinical effectiveness, risk management and clinical education and training.

The post-holder is expected to act on their own initiative on a daily basis to ensure the effective running of the administration provided to support to various work streams. They will be responsible for prioritising their workload as required, dealing with all queries in an efficient and courteous manner using judgement and prioritisation skills. The post holder will be responsible for maintaining, recording, updating and reporting on relevant databases; producing agendas and minute taking for meetings; handling and formatting of reports with confidential, highly sensitive information.

**RESPONSIBILITIES**:
**- Use a variety of software packages such as Microsoft Office to include Microsoft Teams etc. to produce correspondence, maintain presentations, records, spreadsheets and databases.**

**- Use of Datix and Radar and running reports from the system.**

**- Provide administrative support that ensures the effective functioning of Clinical Governance meetings.**

**- Support and provide administrative support as required in relation to Clinical Governance**

**- Data quality check of incident forms on a daily (Monday-Friday) basis to ensure accuracy, severity and any trends from the incident forms.**

**- Attend meetings as requested to support in comprehensive and accurate minute taking and recording actions.**

**- Complete any other administrative tasks required to support the team in a timely manner**

**- Provide exceptionally high standard comprehensive administrative assistance to HMT’s incident reporting and investigation process, from initial reporting through to internal and external sign off of Serious Incident reports and confirmation of completed action plans, to closure of Serious Incidents on the National Reporting system STEIS, final reports required for patient/family**

**- The post holder is required to work to Serious Incident process and other deadlines in a fast paced, demanding environment whilst maintaining accuracy and attention to detail**

**- Effectively communicate, receive and deal with enquiries from/to staff internal and external to HMT, other organisations and from the public, ensuring that relationships are maintained**

**- Deal with complex and highly sensitive information, including patient records/key patient information and maintaining confidentiality at all times**

**- Prepare complex and highly sensitive confidential reports with distressing content for sharing with patients/families**

**- Proof read complex confidential and highly sensitive correspondence, reports and other documentation to a high standard within agreed timescales**

**- Plan, arrange and take part in meetings and events which may be internal or external to the service, ensuring all necessary arrangements are made, such as room bookings, the development and administration of agendas, taking notes and developing minutes outlining key actions and decisions taken**

**- Ensure all office systems are maintained to an exceptionally high standard, both electronic and hard copy, across the service, developing systems to ensure that services run smoothly through having well planned and organised administrative systems and processes in place including maintaining multiple highly complex and sensitive governance spreadsheets, which the detail of patients, patient safety incidents, the nature of the resulting harm and statutory Duty of Candour**

**- Develop and implement local administrative policies and procedures, suggesting changes to improve the wider service protocols**

**- Investigate and resolve day-to-day issues within the administrative function, escalating any issues that are more complex in a timely way**

**- Collate information including highly sensitive and complex patient notes and other relevant HMT documents for solicitors and investigating officers to assist in the Serious Incident process**

**- Assist in collating the reports for Groups and Committees**

**- Assist in collating information to support the preparation of the quarterly learning themes**

**- Participate and contribute to strategic projects providing exceptional administrative and clerical support as required, showing initiative in the development of tools, templates and monitoring processes for such projects**
