We are seeking a highly organised and detail-oriented Administrative Assistant to join our Wafflemeister head office team. As an integral part of our operations, you will be responsible for efficiently handling various administrative tasks including daily supply chain processes to ensure the smooth flow of our business. A knowledge of supply chain logistics and dealing with wholesale customers is preferable.

Wafflemeister is the UK’s fastest growing waffle company, delivering over 53 millions waffles a year. With 25 Wafflemeister sites around the UK, over 70 wholesalers, 3 major retailers and 20 product SKUs, Wafflemeister is leading the drive to provide high quality, consistent and value products to the masses.

**Requirements**:

- 2-3 years of experience in Supply Chain planning preferable, purchase order information, ensuring all data is available for customers, accounts and sales teams.
- Operational experience is required.
- Excellent MS Office skills.
- Fluent/business proficient in English, excellent written and verbal communication skills including presentation skills and experience of dealing with both internal and external customers/suppliers at all levels.
- Demonstrated analytical and conceptual problem-solving ability.
- Ability to multi-task, meet deadlines and work under pressure with autonomy.
- Willingness to take responsibility and accountability.
- Demonstrated self-starter with the ability to deliver results in a lean, agile organization and able to adapt to changing priorities and requirements.
- Basic understanding of key financials, P&L and network rebate design models.

**Responsibilities**:
1. Order Processing and Supplier Coordination:

- Process daily customer orders using in-house software.
- Coordinate with the transport team to notify customers of delays and movements.
- Generate and manage purchase orders, working closely with suppliers.

2. Logistics Management and International Collaboration:

- Oversee EU-UK transport logistics, collaborating with EU suppliers.
- Resolve delivery discrepancies and ensure customer satisfaction.
- Maintain stock control and accurately receipt stock using in-house software.

3. Administrative Support and Customer Relations:

- Handle administrative tasks, including new line forms, customer account forms, and travel arrangements.
- Respond to customer complaints and inquiries.
- Send Proof of Deliveries (PODs) and manage customer communications regarding deliveries.

4. Reporting and Documentation:

- Generate various reports, including sales reports, product reports, and customer reports.
- Prepare finance reports for monthly submissions to buying groups.
- Maintain and organise product specifications, ensuring compliance with BRC standards.

5. Pricing and Promotions Management:

- Manage product codes, barcodes, and pricing files accurately.
- Coordinate promotions, dates, and off-invoice pricing effectively.
- Handle rebates, including reporting and liaising with the accounts department.

Additional Information:

- The position allows for remote work, offering flexibility and a collaborative virtual work environment.
- The role will require 5 hours of work per day completed within the normal working hours of 9am - 5pm.
- Salary £25,000 - £35,000 plus bonus
