The Administrator/Receptionist position provides a full range of administration and support services to the club, its members and guests as needed. You will be required to work as part of a progressive team. When the members and guests walk into our club, we want them to find a friendly smiling face and a helping hand.

**Roles & Responsibilities**
- Greet and welcome members and guests to the club and address any queries they may have.
- Answer the phone in a timely manner and direct calls to the correct areas of the club.
- Diligently learn and use the digital systems in place for the club and administer any hard copy filing systems.
- Manage sports bookings, memberships, hospitality bookings and general sales enquiries.
- Show prospective new members around the facilities.
- Carry out club induction for new members, unless the induction requested is for a specific sport, in which case the lead coach or physical instructor should carry out the induction.
- Issue sales invoices and contracts for sports and hospitality bookings.
- Track sales invoice life cycle through to completion and final payment.
- Process payments (cash and electronic) and create invoices and credit notes when required.
- Create digital content for promotional material like events brochures, member updates, sales & marketing campaigns, social media, and sports section events.
- Collaborate with F&B staff, sports coaches, sports committees, and trustees to provide the best customer experience to members and public customers.
- Work to continuously seek to improve the efficiency and accuracy of administration and reception processes.
- Adherence to and promotion of Company policies and procedures, including compliance and promotion of the Company’s vision, culture, preferred behaviours, ethics, and ways of working.

**Knowledge, Skills & Experience**
- 5+ years’ experience working in a similar administration and/or reception role.
- Track record of successful working as a receptionist/administrator in a customer facing environment.
- Experience preferable using of Google Workspace packages such as Gmail, Calendar, etc and Microsoft packages including Word and Excel.
- IT literate with the ability to adapt and learn new systems.
- Evidence of effective and assertive interpersonal skills that gains the confidence and the trust of the members and guests.
- Excellent oral and written communication skills.
- Sound judgement with ability to interpret, analyse and disseminate information as required.
- High level of literacy with ability to produce written reports.
- Numerate and able to manage small budgets.
- Effective people skills, with the ability to interact effectively with members, guests, managers, staff, and stakeholders.
- Excellent planning, organisation, and time management, with the ability to work under pressure and to demonstrate an effective and resourceful approach to addressing issues.
- Evidence of effective problem-solving skills with an ability to identify innovative yet practical solutions to complex issues.
