**Administration Co-Ordinator**

This position is based in the Northampton office. The primary focus of Oakleaf’s Administration Team is to proof read, find anomalies and analyse data within surveys to ensure its accuracy before sending on to the final stage.

And as an Administration Co-Ordinator with Oakleaf, you’ll do it by
- To ensure that statutory requirements, codes of practice and procedures relating to the Health and Safety at Work and any other relevant enhancements are met in full.
- To work in a safe and healthy manner for the benefit of themselves, Company, site personnel, client personnel, other contractors, visitors and members of the public.
- Quality checking documents.
- Keeping job folders and Smartsheet software up to date.
- Producing reports for final checking.
- Assisting the Office Manager, Project Managers and Surveyors as required.
- Managing data submission and inputting data.
- Answering the phone and directing calls as appropriate.
- Undertaking any other duties which may be reasonably required within the nature of the duties and responsibilities of the department. This may include franking of post, printing of plans, ordering of stationery/supplies, arranging catering etc.

**What does it take?**

- Analysis of data will be required to ensure that final reports correctly reflect the findings of the Surveyors.
- Problem solving skills are desirable to ensure the administration runs efficiently with little intervention from the Management staff.
- Good planning and organisational skills, the ability to work unsupervised will be essential to ensure the department operates efficiently and that all systems both electronic and manual are maintained.
- Communications with both internal and external personnel will be a key requirement.
- Keen eye for detail.
- Able to manage own workload.
- Proactive.
- Willingness to learn.
- Work well in a team as well as using your own initiative.
- Flexible approach and the ability to work to deadlines.
- Capability to deal with high-volume data entry.
- Strong analytical skills with the ability to interpret and manipulate data.
- Good level of computer literacy (with Excel being particularly desirable).
- Ability to prioritise workload and manage working time effectively.
- Excellent communication skills, verbal and written, including a good telephone manner.
- Have good customer service skills and can communicate clearly and effectively with all levels of management.
