Office Administrator

As a member of our Training and Consultancy Team you will actively contribute towards our goal of:
**Inspiring people and businesses to work safely and sustainably**
Working within the Service Support Team, the primary focus of your role will be to provide assistance to various functions of the team.
Working efficiently and effectively, you will have to be flexible and able to prioritise, quickly adjusting to the demands of the department.
**Training course support**:
- Process bookings from clients ensuring all specific requirements are recorded
- Create online links for virtual course presentations and allocating to tutor calendars
- Closely liaise with clients to ensure all information required has been received and reviewed, raising any queries as appropriate
- Work with Services Support team to provide information required to meet the timelines for delivery of pre-course materials
- Work with the Service Delivery team to ensure they have all the information required to deliver the training sessions
- Final pre-course checks for all courses to ensure SSG maintains its customer service and delivery standards
**Award body administration**:
- Send / upload notifications of SSG’s intention to deliver courses to awarding bodies within specified deadlines
- Review submitted notifications and update any changes to information ahead of course presentation
- Upload delegate information on awarding body portals
**Office and systems**:
- To assist with arrangements for lunch, refreshments and clearing of training rooms for courses held at the Plymouth Training Centre.
- To make effective use of computer systems (hardware and software) to perform administrative tasks
**Qualifications and Experience**:
- Excellent attention to detail
- Excellent verbal and written communication skills at all levels
- Fluency in MS Office - Word / Excel / Outlook / SharePoint / Teams
- Experience of using database management systems
- Aptitude to work independently, be able to prioritise and think about the broader impact of your decision-making across the business
- Ability to remain calm under pressure and handle challenging situations/clients
- A positive attitude towards problem solving / solutions-based approach
- Strong interpersonal skills and proven ability to develop and maintain cooperative and supportive relationships and communication channels with members of other teams
A sense of humour
