**Job Summary**:
The Wellbeing Administrator is a central function to support the delivery and goals of With You in Mind Counselling; ensuring clients have access to affordable and suitable mental health support. The Wellbeing Administrator will be responsible for administering all aspects of administrative service delivery, including the booking of clients, resolving clients' queries, working with clinicians and supporting delivery of services that exceed clients' expectations. The Wellbeing Administrator will support all aspects of the administration of service delivery and will be flexible in providing support to adapt to the requirements of the business.
- Use a range of computer system to manage clients' files and ensure these are up to date for effective support of our clinicians.
- Action any appointment booking, cancellations & DNA, ensuring that clinic capacity is used as efficiently as possible.
- Liase with professionals to ensure effective care of our clients.
- Assess and resolve clients' queries concerning their referrals and appointments in a timely professional manner. Ensuring that any clients’ potential at risk is escalated through agreed protocols.
- Provide an efficient service processing correspondence for GPs and Health Professionals as required.
- To work on own initiative, to plan time effectively, to multi-task successfully, and prioritise own workload daily, working autonomously within own work area seeking advice where appropriate.
- To record information using a variety of computer and paper-based systems ensuring there are no delays in the processing of referrals. Ensuring accuracy and quality of data recorded using available reporting tools to check data quality.
- Offer choice directly to clients where appropriate and support them in making that choice through information provision, signposting and discussion, enabling clients to consider their own (non-clinical) preference for their care pathways.
- Attend team meetings, regular briefings and training sessions in accordance with the role. To take minutes and write up actions from MDT meetings.
- Maintain data security and client's confidentiality by adhering to agreed auditable processes and protocols.
- Carry out other administrative for the service which could include reception work, post and dealing with clients enquires either in person or via electronic communications.

**CONFIDENTIALITY**

As an employee of ‘With You in Mind Counselling’ you may gain knowledge of a highly confidential nature relating to the private affairs, diagnosis and treatment of clients. Under no circumstances should such information be divulged or passed to any unauthorized person. This includes holding conversations with colleagues concerning clients or staff in situations where the conversation may be overheard. Breaches of confidence will result in disciplinary action which may involve dismissal.

- Ability to develop appropriate, positive relationships with young people and families
- Ability to work independently and as part of a team.
- Excellent inter-personal skills.
- Good organisational skills, including the ability to manage appointments.
- Clear and concise written and spoken communication skills.
- To be familiar with Microsoft Office programmes and be able to produce basic documents using these programmes.
- The ability to carry out assessments and ensure the client is suitable for service
