**Role Purpose**

In this role, the Operations Administrator provides essential support to our Operations department, ensuring the smooth and efficient functioning of daily activities. This role assists in various administrative tasks, including data entry, scheduling, and maintaining records, while contributing to process improvements and operational efficiency.

**Principle Duties and Accountabilities**

The specific accountabilities of this flexible role may alter from time to time in order to meet the needs of the company, but accountabilities will include (or be equivalent in nature to) those listed below:

- Processing live orders _
- Checking customer purchase orders, addresses, site contacts, restrictions
- Checking the stock location and updating the advice notes & hire contracts accordingly with support from the Operations Coordinator
- Arranging delivery with the Transport department
- Requesting & checking POD’s & confirming once complete
- Reviewing External driver collection notes & confirming
- Processing off hires
- Reviewing return paperwork from the Depots and actioning accordingly on Syrinx
- Includes depot transfers, confirming & raising loss/damage notes
- Loss/Damage Notes_
- Complete loss/damage notes with our pricing and pass to the Salesperson to update their customer
- Confirm orders in a timely manner
- Raising purchase orders when required/instructed by the Assistant Operations Manager
- General admin support for departments overseen by the Operations Manager when instructed by the Assistant Operations Manager
- Reporting stock issues/discrepancies to the Assistant Operations Manager
- Raising credits
- Implementing system changes as required.
- General support with team tasks such as, but not limited to:_
- Answering the phone.
- Data entry.
- File Management

**Level of Knowledge and Experience**
- Efficient PC skills - including data capturing and Microsoft Office
- Written, telephonic and verbal communication

- Excellent administrative and clerical skills.
- A keen understanding on systematic business processes, and the maintenance of these operations systems and processes.
- Efficiently working as part of a team.
- Ability to analyse situations and make decisions accordingly.
