Skilled Administrative Officers (AO) are crucial to the support of operations of Maritime Reserve Units (MRU). The primary function of MRUs is to deliver trained Reservists as elements of Operational Capability at Readiness as mandated by Navy Command.

We, as Civil Servants working in Defence, deliver integral support to the Business Objectives of Commander Maritime Reserves (COMMARRES). We form part of the Operational Delivery Profession, offering outstanding and exciting development opportunities. We are the face of the Civil Service within the MOD as frontline Operational Professionals to Royal Naval Reservists. We proactively support and react to the requirements of colleagues, partners, and senior personnel to enable the day-to-day administration of MRUs.

**Job description**:
The Administrative Officer reports directly to the Support Manager and will provide general administrative duties to Maritime Reserve Units within our region, which will include but is not limited to the following responsibilities:
**1. Unit(s) diary, management, and accommodation administration**
- Maintain the Commanding Officer’s working diary communicating with other agencies as necessary
- Supervise unit(s) inbox and dispatch documentation to wider unit management
- Assist the Support Manager with the organisation of key unit, capability area & regional events, communicating with external authorities as appropriate
- Assist with training & weekend administrative preparation and to provide on-site customer support as the need arises
- Engage with the Regional Support Unit for the ordering of Goods and Services
- Support MT Pool & hire car administration

**2. **Pay, training, Command Tool & My Navy Reserves App**
- Investigate customer pay queries, resolve and progress where required
- Scrutinise monthly payroll data for accuracy before submission for payment
- Produce scheduled and ad-hoc Command Tool reports as directed
- Support the use of the My Navy Reserves App

**3. JPA, appraisal & training administration**
- Use the SCIO Command Tool to review personnel data
- Support with the input of data into JPA as the need arises
- Support the Honours and Awards process
- Act as the Appraisals Administrator to support timely submission of reports
- Assist the SM to monitor the Command Tool
- Administer training documentation as required

**4. SharePoint team site administrator and MODNET Authorised Demander**
- SharePoint & MS Groups and Teams site administrator
- Focal point for routine IT support
- Act as the LSO & ITSO including resetting log ins and routine administration

**5. Registry; including archiving, personnel files, and correspondence**
- Act as local Authorised Demander
- Support the maintenance of the Navy Command Asset Register (NCAR)
- Maintain essential hardcopy documents and account for incoming and outgoing mail
- Maintain the unit stationery store, ordering equipment as required
- Issue of Railcards and ID Cards

**6. **To undertake miscellaneous tasks in support of Unit Administration as directed by the Support Manager (SM) or Unit Operations Officer (UOO)**
- Work as directed by the Support Manager for the administrative purposes
- Provide remote digital administrative support to other units/regions as directed by CMR HQ to aid resilience

**Person specification**:

- You will have excellent communication and reasoning skills with the ability to maintain composure when dealing with challenging situations. Strong communication skills (both written and oral) with IT proficiency in Microsoft Office 365 (Outlook, Teams, etc). Can demonstrate excellent time management skills and has a proactive approach to work. You will be motivated and eager to learn and develop new skills.
