Ward Receptionist/clerical

Work as an effective member of the team, assisting in the smooth running of the Main Theatre Admissions Unit.
The Receptionist will work in conjunction with Theatre/Recovery and Main Theatre Admission team members to provide administrative support throughout the patient’s journey within the department.
The role involves daily face to face contact with staff and Non-NHS employees
The service users come from a variety of cultural backgrounds and the Receptionist must be able to communicate effectively.
Supporting Patient Excellence
Answer telephone enquiries in an appropriate manner reporting information to appropriate staff and other members of the multi disciplinary team.
Maintain good written and verbal communication between all departments and outside agencies.
Use the computerised patient management system (Camis) to access patient details, providing information required by the Day Surgery Teams.
Use the Theatre Computer systems (Nexus) to enhance the smooth running of the department.
Be responsible for the ordering of stationary and ensure adequate levels are maintained.
Photocopy documents/notes as required & maintain a comprehensive filing system.
Locate and retrieve patients notes ensuring the (Camis) tracking system is updated
Provide the private patients department with consumable usage for individual patients.
Attend department meetings, taking minutes, typing & distributing as required.
Contribute to developing a welcoming atmosphere within the department making users of the department feel comfortable and at ease.

ROLE AND RESPONSIBILITIES
Report any problems relevant to the department to the Theatre Manager.
Print off the next day Theatre lists and display as necessary.
Update the Staff allocation board at the end of each day & assist in E-Roster data inputting.
Organise workload in conjunction with other members of staff reporting any problems as necessary.
Undertake training and professional development as identified in an annual performance review.
These duties and responsibilities may be changed in accordance with the needs of the Directorate/Department and in particular the post holder may be required to provide support to other areas within the department as required and to carry out any other relevant duties that may be requested.

Recognise and maintain confidentiality of information relating to patients/clients and their records.
Ensure clarity in communicating with patients/clients and their relatives as well as other team members and in answering questions within the sphere of ones own knowledge.
Welcome patients/clients, their families and other visitors to the ward/department. Introduce them to the facilities and services provided.
Answer the telephone on a clear, friendly, helpful and professional manner. Take any messages accurately and refer to a registered nurse/midwife as necessary.
Demonstrate a caring approach to patients/clients, their families and visitors and to have good verbal and non-verbal communication skills.

Lead by example with drive and enthusiasm, responding appropriately to the needs of patients, families and carers.
People/Management Excellence
Have the ability and knowledge to competently deal with an emergency situation.
Manage his/her time effectively and perform allocated tasks within a reasonable time frame, knowing when to seek support, assistance and advice from other team members.
Assist in the maintenance of ward/department equipment and stock levels, e.g. equipment, linen, catering supplies, HSDU, etc.
Professional Responsibilities
At all times to adhere to statutory, mandatory, Trust.
Maintain own statutory, mandatory training, and divisional /directorate specific essential training.
