**Job Description**:
One of the leading Universities in Birmingham have had a rare opportunity become available to join their team in order to coordinate a team of administrators.
The College employs a significant number of PhD students to carry out demonstrating/marking on undergraduate modules. It also employs external people to carry out teaching/research support. The hiring of such workers is organised via an internal College and HR process and there is a College Administrator assigned to manage the day to day set up of these jobs. There are also 4 other administrative posts in the College Schools who have an involvement at School level in this process. This post is to oversee/co-ordinate the whole process including liaison with the administrators to ensure that the process runs smoothly. The post holder will not be required to line manage any of these positions but they will need to be able to work across teams. The process will involve a variety of tasks that will need to be overseen/managed:
Main duties of the role include:

- Understanding the right to work Home Office policy and what documentation is required to enable someone to work. This is a legal process.- Overseeing the process of collecting the information of work to be booked in, monitoring the progress of bookings, ensuring that the relevant deadlines are met. Understanding the regulations around the casual work process to advise others.- Assisting with supplementary information required such as registry letters/student vacation letters/student illegal working declaration forms- Communicating any issues/changes to the student community.- Dealing with any issues e.g. non-payment/issues with timecards and the process- Helping students with the system, dealing with queries. There might be an element of training on the process for students.- Educated to at least A Level standard or equivalent relevant experience.- A proven record of data systems management and the implementation of effective quality systems.- Significant experience of administration/organising workloads and processes.- Experience of working with computers and specifically working with Excel.- Excellent interpersonal skills- Excellent organisational skills.- Ability to prioritise; work independently and able to prioritise complex and competing workloads.- Ability to work to tight deadlines- Assertiveness and the ability to act decisively.- A proactive and flexible approach.- Good negotiating and influencing skills.- Ability to work well with different groups of people- Ability to handle difficult situations tactfully- Ability to understand complicated rules and regulations and to explain those to othersThis position would suit someone that is coming from a HR or recruitment background or anyone that has experience dealing with worker queries as well as coordinating workloads and dealing with compliance.
Working hours for this position are 9am-5pm Monday-Friday.
This role is also offering an excellent hourly rate of £15.75 per hour and the potential for a permanent contract.
