Focus Birmingham is a leading charity in Birmingham and we are seeking a Central Resources Co-Ordinator (Admin Co-Ordinator) to join the busy Central Resources department.
The purpose of the role is to manage all the administration across the organisation, support the Facilities Manager & Head of Central Resources in managing a professional and efficient Facilities Service to deliver first class customer service.

Some main responsibilities include:

Managing Administration for all areas of the Organisation*
- Manage and support a small team of administrators with distribution of workloads ensuring cover during staff absence.
- Identify any training needs for administration staff.
- Liaising with Heads of departments to identify their administration related requirements.

Health & Safety*
- Ensure that Focus Birmingham policies and procedures are adhered to including those relating to Covid-19.
- Assist in the compliance and monitoring of H&S policy, safe working practices and best practice, liaising closely with the Facilities Manager and Ellis Whittam.
- Utilise and maintain an effective policy system using EW software.

Support the Facilities Manager and Head of Central resources in managing a professional and efficient Facilities Service.*
- Manage an effective front of house facility.
- Manage the issuing and cancellation of security passes to staff, volunteers, visitors and contractors.
- Updating security process and maintaining testing records and contractor communication in the event of breakdown.
- Produce reports for CRD spends on a monthly basis for finance department.

Delivery of First Class customer service to Focus Birmingham's SLC team, Day Service and all other departments and stakeholders requiring service from Central Resources*.
- Manage effective responses to queries and complaints where applicable.
- Provide administrative support for departmental meetings including preparing and circulating agendas, taking minutes and monitoring agreed actions.
- Prepare and provide support to various Committees in operation at Focus ie Health & Safety Committee.
